About the role

The Project Manager provides a broad range of project management and operational support, contributing to the administration, coordination, and execution of key initiatives across the department. This role supports planning, budgeting, organizing, research, and service delivery activities while ensuring projects are completed on time, within scope, and within budget. The Project Manager leads and coordinates cross-functional teams, manages resources, and ensures alignment with organizational goals. The position oversees all phases of the project lifecycle, including initiation, planning, execution, monitoring, and closure, while proactively identifying risks, implementing mitigation strategies, and maintaining clear, consistent communication with stakeholders. Success in this role requires strong leadership, sound judgment, excellent problem-solving skills, and the ability to adapt to shifting priorities in a fast-paced environment. The Project Manager may provide backup support and coverage to other managers and directors within the department, as needed. The position may also co-oversee Masters in Health Administration (MHA) residencies or internships for the department. Overall, this role is essential to advancing the Office's commitment to integrated, collaborative, and evidence-based enterprise risk management across Keck Medicine of USC.

The Project Manager, Organizational Effectiveness is a key member of the Human Resources team and provides a wide range of project management and operational support. The individual will assist in the administration and coordination of a variety functions including planning, budgeting, organizing, research, and management of activities for the Associate Administrator, Organizational Effectiveness and other senior leaders of the Human Resources team. Assignments will involve coordination with a variety of HR functions and collaborating with departments or entities within Keck Medicine or at University Park Campus. This work involves organizations that are part of due diligence, integration, or additional key strategic priorities with Keck Medicine.

Essential Duties:

  • Project Management • Define project scope, objectives, and deliverables in alignment with organizational goals. • Develop detailed project plans, timelines, and resource allocation strategies. • Coordinate and lead cross-functional teams to ensure project milestones are met. • Monitor project progress, performance, and risks; adjust plans and mitigation strategies as needed. • Manage project budgets, track expenses, and ensure cost efficiency. • Communicate project status, risks, and updates to stakeholders regularly. • Ensure compliance with organizational standards, policies, and best practices. • Facilitate problem-solving, decision-making, and issue resolution throughout the project lifecycle. • Oversee project closure activities, including documentation, evaluation, and lessons learned. • Maintain accurate and complete project documentation for audits or future reference. • Ensure deliverables meet quality standards, regulatory requirements, and stakeholder expectations. • Manage procurement of resources and third-party vendors as needed. • Assist with vendor coordination and contract negotiations, as appropriate.
  • Communication & Collaboration • Develop and maintain effective working relationships with diverse groups, including staff, faculty, clinicians, patients, and visitors. • Prepare and deliver presentations on project proposals, plans, and status in formal and informal settings. • Facilitate meetings, reporting sessions, and group discussions to support project execution. • Provide guidance, support, and motivation to project team members, fostering a collaborative, high-performance environment. • Demonstrate flexibility and adaptability in navigating changing priorities, tasks, and processes. • Seek, receive, and act on performance feedback; provide constructive, actionable feedback to peers and leaders.
  • Budget & Resource Management • Prepare and manage project budgets, ensuring cost control, documentation accuracy, and financial compliance. • Monitor resource utilization and adjust allocations to optimize operational efficiency. • Review project invoices and financial documentation for accuracy and alignment with project scope. • Assist with development of the department’s annual budget, as needed.
  • Leadership & Supervision • Serve as a preceptor or mentor for the department’s Master of Health Administration (MHA) residents or interns, as assigned.
  • Operational & Program Support • Provide operational support to Culture of Safety, Risk Analytics, Risk Education, Professional Liability Management, and Clinical Risk Management programs, as needed. • Support general department operations, workflows, and strategic initiatives.
  • Perform other duties as assigned.
