Description

Purpose:

The Patient Scheduling Coordinator is responsible for making patient appointments based on care recommendations provided. Tasks may be integrated into another position e.g., intake coordination, inbound and outbound calls, as needed. The position creates an atmosphere of warmth, personal interest, positive emphasis, and a calm attitude when visiting with staff and patients.


There may be some travel associated with this position. Mileage would be paid.


Duties:

The Patient Scheduling Coordinator will efficiently assist patients in navigating the scheduling process for all appointment types.

  • Schedule appointments for patients by phone
  • Uses manual/computerized system to match physician/clinician availability with patient’s preferences in terms of date and time.
  • Maintains scheduling system so records are accurate and complete and can be used to analyze patient/staffing patterns.
  • Ensures that updates (e.g., cancellations or additions) are input immediately and re-scheduled.
  • Communicates as needed with physicians/clinicians and other staff about any patient concerns/issues related to scheduling. Consults with operations manager about any system problems.
  • Uses customer service principles and techniques to deal with patients calmly and pleasantly.
  • Performs other duties as assigned.

  • Effectively directs and organizes daily responsibilities and workflow.
  • Establishes and maintains appropriate boundaries with patients, Multidisciplinary Treatment Team, and colleagues.
  • Always exhibits a professional demeanor

Requirements

  • Education: High School Diploma or equivalent
  • up to 10% travel
  • Valid Driver's license in good standing.
  • Experience: Must have experience working in a medical office environment, preferably in the mental health and substance abuse fields.
  • Competent in using computers, email, printers, scanners, facsimile, and multiline phone systems. Previous experience with electronic health records is preferred.
