Job Description Summary

The primary role of the Administrative Coordinator is to carry out the day-to-day operations of the Breast Cancer Clinical Trials Navigation system within the Access, Community Outreach, and Research Navigation (ACORN) division of the 2-PREVENT Breast Cancer Translational Center of Excellence (TCE). The Administrative Coordinator works directly with study physicians, project managers, and other research staff. This position will be responsible for: 1) Communicating with patients and providers who are interested in breast cancer clinical trials, monitoring trial inquiries coming in via e-mail, phone, and EPIC pool, and ongoing communication with patients and providers throughout the trial navigation process, 2) Obtaining medical records for patient referrals and creating new patient registrations in EPIC, 3) Matching and routing patients to clinical trials, and 4) Entering data into the Navigation REDCap database. The position requires a motivated, articulate individual with excellent oral and written communication skills. The candidate should possess the ability to work independently and as part of a team.

Job Responsibilities

  • Provides varied and complex administrative coordination to support daily operations
  • Facilitate meeting scheduling: coordinate scheduling of large groups, cross departmental/divisional meetings for multiple initiatives
  • Assists with making travel arrangements and producing expense reports
  • Assists with the coordination and planning of various department events
  • May assist with weekly payroll preparation and processing, equipment contracts/repairs, facilities requests, office supply maintenance, service contracts
  • As needed, create purchasing orders, troubleshooting and following up on purchasing requests
  • Other duties and responsibilities as assigned

Qualifications

  • High School Grad/GE Degree, and 5 to 7 years of experience or equivalent combination of education and experience is required.

Position is contingent upon continued funding.
