Salary Range: $35.11 - $45.82

Position Summary

Under guidance, provides senior level executive support to senior staff within the department. This role also prepares and manages all faculty and medical staff appointments, as well as manages teaching activities including medical student rotations and Grand Rounds events.

Job Responsibilities

  • Serves as executive assistant to Chairman, Vice-Chairman, and Department Administrator; organizes/schedules meetings, answers phones, organizes lunch and/or dinner meetings, coordinates travel/lodging accomodations and prepares reimbursement requistions.
  • Works with the Office of Faculty Affairs (OFA) and/or Medical Staff Office (MSO) to ensure that all submitted paper work is received, accurate, and completed timely.
  • Manages teaching activities; provides pertinent information to medical student electives; manages medical student rotation; manages CME paperwork for Grand Rounds including CME applications, speaker forms, attendance logs and evaluations.
  • Coordinates, prepares, submits and maintains all pertinent documents for faculty appointments, reappointments, promotions and terminations; draft letters of recommendation and appointment letters. Meets with new/existing faculty to review paperwork.
  • Ensures completeness and accuracy of forms/credentials. Obtains/maintains records of NYS license registration, board certifications, infection control certificates, malpractice insurance and DEA certificates; uploads documents to MSOW credentialing system.
  • Responsible for ensuring 100% compliance from faculty on various institutional initiatives, including but not limited to, Annual Health Review, Annual Hospital Training and flu vaccinations.
  • In conjunction with Vice Chairman, responsible for the completion and submission of the Focus Professional Peer Evaluation (FPPE) for new physicians and the semiannual Ongoing Professional peer Evaluation (OPPE) for all clinical providers.
  • Assists with special projects as directed.

Education

  • High School Diploma

Experience

Bachelor's degree is preferred.

Approximately 5 years of experience as an executive assistant working for a high-level senior physician or executive.

Knowledge, Skills and Abilities

  • Demonstrated strong communication and interpersonal skills; demonstrated ability to interact with multiple constituencies and exercise "people skills".
  • Demonstrated ability to exercise standards of professionalism, including appearance, presentation and demeanor.
  • Demonstrated proficiency with MS Office Suite and database applications.
  • Excellent communication skills (both verbal and written).
