Job Summary:
The Junior Meeting Planner is responsible for providing comprehensive support for the planning and execution of meetings and events at Prudential’s Corporate Headquarters Conference Center. This role combines elements of concierge services and meeting planning to ensure seamless event delivery and exceptional client experiences.
Key Responsibilities:
- Collaborate with clients to plan, develop, and execute meetings and events that meet their objectives, ensuring alignment with company standards.
- Provide on-site support for events, including audio/visual setup, room arrangements, catering coordination, and HVAC requirements, addressing issues with relevant departments.
- Collaborate with internal third-party vendors and external sources to evaluate and procure resources, negotiating vendor agreements.
- Cultivate strong relationships with business partners and vendors, exercising diplomacy and persuasive communication skills.
- Manage a large volume of deliverables, meeting deadlines, and adapting to changing priorities.
- Maintain composure and professionalism under pressure while providing exceptional client services.
- Think creatively and strategically to bring new perspectives and problem-solving skills to the role.
- Update and maintain weekly/monthly meeting schedules for all venues/events.
- Conduct daily inspections of the conference center and enter maintenance requests as needed.
- Order conference center supplies and giveaway items, ensuring resource availability within budget constraints, as needed.
- Execute various administrative responsibilities to support department work.
Qualifications:
- Minimum of two (2) years of prior meeting planning experience preferred.
- Understanding of the hospitality industry and client services.
- Strong organizational and time management skills; ability to prioritize effectively and remain flexible.
- Excellent communication and interpersonal skills, with the ability to service peers and management professionally.
- Ability to work independently and as part of a team, with a strong initiative and work ethic.
- Proficient in MS Office (Word, Excel, PowerPoint) and Outlook.
- Ability to work under tight deadlines in a fast-paced environment; flexibility to work additional hours as needed.
Comments: Periodic evening hours may be needed.
Estimated compensation for this position:
54,000.00 – 62,000.00 USD per yearThis range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
