Job Description

Purpose:

Responsible for all administrative functions of the department: calendar management, scheduling travel, managing correspondence, processing expense reports, meeting/event planning, creating or modifying business documents, managing slides for team meetings, onboarding (equipment and access) for new employees, maintain records.   

Responsibilities:

  • Daily and weekly review of calendar and pro-active calendar management for department head
  • Large meeting coordination for 2nd level team members
  • Coordinates new employee onboarding for full team (seating, computer equipment, site access).
  • Send team communications (announcements) at the direction of department head
  • Arrange travel and reimbursement for department head
  • Coordinates and maintains departmental files, in compliance with corporate and government regulations
  • Uses and understands Microsoft Office Suite, Smartsheet, Staffbase, Artificial Intelligence, and other business-specific software, including the Corporate Travel Web site, and employee performance management systems (as applicable)
  • Operates with general instruction and some supervision.
  • Coordinates department training activities (e.g. Colors Insights)
  • Partners with other Administrative Assistants on assigned floor and within MHI to coordinate group trainings

Qualifications

  • Minimum: High School diploma or equivalent.
  • Preferred: Some college or certificates in specific qualifications
  • 2+ years previous admin experience or equivalent
  • Basic to intermediate knowledge of Microsoft Office Suite, Adobe Acrobat, Visio, Excel, Smartsheet,  Outlook and understanding of business processes
