Client Relationship/Receptionist

THE OPPORTUNITY:
Provide prompt, accurate, professional, and friendly customer service.

RESPONSIBILITIES:
a. Prepare and process standard requests for certificates of insurance, cancellations, policy changes, auto ID cards, and claims.
b. Process policy premium payments made by policyholders, including upload of direct bill payments for both personal lines and commercial lines to carriers when necessary.
c. Administer company websites – manage users on systems by adding, deleting, and appointing staff access with logins.
d. Reconcile cash drawer each morning.
e. Greet customers and direct traffic flow assisting customers with their insurance needs if possible.
f. Answer telephone and promptly transfer the incoming calls to the appropriate associate. Take messages or refer to voicemail only when it is determined that customer cannot be assisted upon caller’s request.
g. Open daily mail and sort for scanning and/or distribution.
h. Monitor agency licensing and appointment contracts; make fee filings as necessary to maintain licenses with all states; provide licensing and contacting information to companies.
i. Oversee individual agent licenses and designations, and coordinate continuing education opportunities including scheduling calls when requested.
j. Manage the monitor in lobby for content including announcements and marketing.
k. Exemplify the exceptional customer experience and become a champion role model for other associates.
l. Monitor supplies and order as necessary.
m. Prepare weekly news to all staff upon arrival Monday morning along with the Star Herald daily.
n. Prepare laminated news articles.
o. Request service or maintenance for building, equipment, or systems as needed or as requested by management.
p. Assist with other department personnel in effectively performing their tasks as needed.

REQUIREMENTS:
Minimum Qualifications:
1. Must be a self-starter, imaginative and creative with good communication skills both verbal and written. Should have a thorough understanding of insurance.
2. Critical proofing is required.
3. Must have keyboarding and computer skills. Microsoft Word & Excel required.
4. Minimum 3 years’ experience in similar position is desirable.
5. Must be capable of working with and maintaining the confidentiality of sensitive information.
6. Must possess skills to maintain harmonious working relationships with supervisors, co-workers and customers.

Physical Requirements:
Light Work - exerting up to 20 pounds of force occasionally, and/up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. Reaching, grasping, repetitive motions, stooping, crouching, standing, walking, lifting, climbing, kneeling, talking, hearing, pulling, pushing, thinking, concentrating and interacting with others.
