Job Description Summary

The Weitzman School of Design is seeking a Workday Research Coordinator (WRC) to support the rapidly growing Research Support Center (RSC). This position reports directly to the RSC Manager and assists with the pre-award/proposal compensation budget development process and is responsible for overseeing the post-award processing of all compensation transactions, financial reporting, and ensuring compliance with internal and external research policies and procedures. The center supports all pre-award and post-award funded grant/contract activities of the faculty and research centers including PennPraxis which serves as the applied research arm of the School.

Job Responsibilities

  • The Workday Research Coordinator’s portfolio will include managing faculty and student awards by assisting in the preparation and review of the compensation portion of the budget proposal and assisting with other proposal development activities as it relates to Workday actions.
  • Oversee the onboarding of faculty, postdoctoral researchers, PhD researchers, research associates, students, and temporary workers by preparing and reviewing offer letters; working closely with International Student & Scholarly Services (ISSS) by preparing and issuing visas and enforcing compliance with ISSS rules and regulations; initiating all required actions in Workday.
  • Reconcile and monitor weekly/monthly payroll transactions assuring distributions and allocations are appropriate and accurate; track and clear the suspense account; anticipate upcoming monthly payroll transactions; process payroll reallocations, one-time payments, period activity pay, and annual salary increases; review and process weekly time sheets and monthly payroll determining the best course of action for students who hold multiple positions.
