The Senior Administrative Assistant performs a variety of administrative and secretarial duties as well as a variety of tasks that require planning and organization to meet daily responsibilities and deadlines.
How you’ll spend your day
- Provide administrative support to the Senior Vice President and CFO of US Commercial
- Support VP, US Financial Business Planning & Transformation as needed
- Active Lead for Commercial Finance Admins
- Must possess a professional demeanor and effectively interact with executives and admins inside and outside of the organization
- Must possess writing and communications skills with proven ability to create written communications
- Must be able to troubleshoot departmental or other issues that may arise
- Must be agile and organized to comply with deadlines and priorities
- Must be able to work independently to complete routine department functions
- Closely manage the SVP’s calendar: Set recurring meetings, resolve calendar conflicts; call-out high-level meetings
- Meet with SVP as needed; at least weekly to review meeting requests/calendar submissions
- Coordinate quarterly Town Hall meetings and efficiently schedule department meetings, events, internal and external conferences
- Make international and domestic travel arrangements including hotel, air and ground transportation
- Manage and Reconcile SVP’s monthly Expense Report and manage the approval of expense reports for SVP’s direct reports
- Schedule and gather the agenda for bi-monthly finance staff meetings record and distribute meeting notes
- Assist in the creation and maintenance of the US finance report submissions calendar (as part of the global finance calendar)
- Completes other projects and required as assigned or as business needs require
Your experience and qualifications
- Must have knowledge of secretarial, office administrative procedures, and proficiency in operating standard office equipment, at a level generally acquired through a minimum of 5 years related experience
- Global travel scheduling experience required
- Proficiency in MS Word, PowerPoint, Excel and Outlook
- Must be able to maintain the highest levels of confidentiality, integrity and discretion
- Must be detail oriented with high level of interpersonal skills to ensure effective, and accurate flow of all information
- Excellent organizational and follow-up skills required
- High School Diploma/GED required, Associate's degree is preferred
- A minimum of 3 years' experience in a pharmaceutical environment desirable
- Strong written and verbal communications skills with excellent typing skills
- Experience with meeting coordination and planning preferred
- Able to work independently and provide services to multiple staff members
- Must work effectively with all levels of the organization - domestic and international
- Willingness and ability to work overtime when needed
