Staff Assistant I

Overview

The Institute for Antiviral Research in the Animal, Dairy, & Veterinary Sciences Department is seeking applicants for a "Staff Assistant I" position. Incumbents in the Staff Assistant I position perform a variety of administrative support and/or secretarial duties for a specified department or program.

Responsibilities

• Purchasing of the supplies in the front office and in stock rooms. Prepare/place orders for general lab supplies keep track of shipments.
• Finding missing receipts for p-card reconciler.
• Managing keys for subdepartment employees – Request proxy/key access for employees that have completed their new hire training.
• Collecting documentation for employee work requirements.
• Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, appointment scheduling, and other general duties as assigned.
• Greets and directs visitors.
• Sorts, screens, and distributes incoming and outgoing mail.
• Arranges maintenance of office equipment.
• Performs miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualifications:

• High school diploma/GED or aptitude is required.

Preferred Qualifications:

• Six months of experience in an office setting or an associate degree/vocational training.
• Skilled with computers and related software.
• Skilled with basic office equipment, including printers, copiers, and telephone systems.
• Good organizational skills.
• Strong verbal and written communication skills.
• Ability to handle sensitive and confidential business data and personal information.
• Ability to work without supervision.
• Knowledge of University policies and procedures.
• Excellent customer service skills.
