The Department of Natural Resources is seeking a full-time employee who has an administrative and legal background and strong organizational skills. The successful candidate will provide general administrative support across all divisions of the department.


EXAMPLES OF WORK:

Provide administrative support across divisions of the Department.
Provide support for contract management and State database maintenance.
Answer Department phone and open incoming mail.
Receive visitors and guests.
Managing calendars, scheduling appointments, etc.
Make travel arrangements for Department personnel.
Perform purchasing duties for divisions which include reviewing contracts, researching quotes, and performing soil source or restricted market searches.
Perform various accounting duties and upload them to EnterpriseOne.
Track correspondence for Director and Deputy Directors.
Assist field office staff with scanning and coding correspondence, data, and field investigation reports into the appropriate surface water appropriation file.
Assist with shutoff notices to be mailed out to landowners.
Voluntary water use reporting. (Create letters, collating, mail merge, send out.)
Assist with PowerPoint presentations.
SOPs for notice programs, PWAP, etc.
Contact landowner to verify contact information.
Assist with development and formalization of procedures of archival and records retention policies for procedures and standard operating procedures (SOPs); server folder structures and other SOPs needed throughout the Department.
Serve as backup to administrative support duties for Legal Division include: clerk of the administrative court; open and maintain administrative case files; prepare and handle all filings, including walk-ins and online, correspond with parties; assist with maintaining records, manage the Department’s legal file email, and prepare administrative court records for appeal; prepare all paperwork for agency rulemaking, maintain records of rulemaking, and correspond with stakeholders; and general administrative work for attorneys (ex. putting documents on letterhead, sending correspondence on behalf of attorneys, formatting orders, maintaining legal records, etc.). And other duties as assigned.


 

Requirements / Qualifications:

Minimum Qualifications: Associate degree in public or business administration, accounting, or any discipline related to the work assigned. One year of experience in administrative, business management, or technical support, including collecting and interpreting statistical, financial, program, or administrative data; or interpreting laws, rules, regulations, and processes. Experience may substitute for education on a year-for-year basis.
