St. James Catholic School is seeking a qualified, committed candidate for the position of Director of Enrollment and Business. The Director of Enrollment and Business uses wide assessment methods and practices to document and address the needs of schools in order to ensure an effective and comprehensive approach to recruitment and to drive retention and enrollment initiatives for St. James Catholic School. The Director will assist the Principal by overseeing property maintenance and coordinating day-to-day office functions. Additionally, the director plays a key role in personnel management by supporting the selection of staff and assisting with human resource procedures. The director is also responsible for maintaining in-house personnel records and ensuring compliance with Human Resource policies and procedures in alignment with the Archdiocese of San Antonio. The Director oversees program/project management which includes being responsible for overseeing the strategic planning and execution of complex, interconnected projects that align with the organization’s long-term goals. Key responsibilities include developing a comprehensive program roadmap, effectively allocating resources, and identifying and mitigating risks to ensure smooth project delivery. The Director facilitates clear communication among project managers and stakeholders to maintain alignment and support across initiatives. This role also ensures quality control by upholding project standards and deliverables, and regularly provides performance and progress reports to senior leadership. Success in this position requires a strong blend of strategic vision, operational oversight, and leadership skills to drive results and ensure program cohesion.
This position requires a strong focus on organizational efficiency, staff support, and policy adherence to ensure the effective operation of the school.
Requirements
Essential Functions:
- Provide on-site direct support (i.e., coaching) to Principal to evaluate, improve, reinvent and implement recruitment, enrollment and retention strategies specific to their campus and community.
- Assess and analyze school’s recruitment, enrollment and marketing strategies in collaboration with the principal to develop a strategic recruitment and marketing plan supported by regular, quarterly visits and follow-up.
- Assist schools in systematically collecting and analyzing a variety of data (e.g., school website content and traffic, response/effectiveness of print and electronic advertisements, FACTS Online Enrollment) to drive school branding and marketing decisions.
- Track, analyze and evaluate student demographic data for the purposes of improving student retention, enrollment in marketing.
- Remain knowledgeable in current trends, research and best practices in the areas of recruitment, enrollment and retention to translate findings into strategies appropriate to Archdiocesan goals and professional development opportunities for school leaders.
- Answers and transfers phone calls, screening when necessary
- Maintains filing systems as assigned
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed
- Responds to and resolves administrative inquiries and questions
- Coordinates and schedules travel, meetings, and appointments
- Prepares agendas and schedules for meetings
- Records and distributes minutes or other records for meetings
- Maintains office supplies and coordinates maintenance of office equipment
- Adhering to safety training and protocols on a daily basis, and taking precautionary measure to ensure the safety and well-being of self, others.
- Responsible for protecting the confidentiality of any information or material obtained in the service of the organization to include but not limited to client names and information, services rendered to clients, donors names and gifts, internal and external investigations or results of any investigations, and financial information.
- Adherence to the Archdiocesan Code of Conduct and the Faith and Morals policy of the Catholic faith is mandatory.
