Editorial Assistant - Education

Prepares technical manuscripts for publication in medical journals and books for the professional audience. Works with other editorial assistants, editors, proofreaders, physicians, personnel external to Mayo, internal service sections during various phases of manuscript production. Performs duties independently, multitasks in a calm and organized manner, and uses tact and judgment in handling questions, phone calls, and solving problems. Must be accurate and timely in completing assigned duties and able to double-check one's own work. Requires ability to process extremely detailed work accurately with numerous interruptions, to do fact-checking and verify and format references to meet style requirements of publisher. Accepts and incorporates constructive feedback to ensure continuous quality improvement.
This position is a combination of remote and onsite support work. Individual must live within driving distance to the Mayo Clinic Rochester campus.
Must have extensive computer experience and a minimum of two years technical school, Mayo medical secretarial training, or equivalent experience in secretarial or business field (minimum of 1 year secretarial experience). Must be able to type 60 wpm with high accuracy. Secretarial skills should include accurately composing and typing letters, word processing and using various computer software packages, including Word. Requires good communication and public relations skills. Must have self-confidence to deal in person and by phone and E-mail with a variety and level of personnel, both within and outside the institution, including physicians, secretaries, editors, proofreaders, and other editorial assistants. Duties require initiative and judgment. Must be dependable, able to organize and prioritize the workload to meet publication deadlines, handle multiple projects simultaneously, and deal with numerous interruptions. Ability to notice and request clarification of inconsistencies of style is required. Prefer 4-5 years of secretarial experience.
