The Opportunity

We are seeking a talented Manager, Executive Administration who will be responsible for day-to-day management of the Executive Administrators and their functions. This role leads a team of ~20 Executive Administrators that support initiatives and protocols as defined and required by each business unit’s leadership. Additionally, the individual in this role will analyze, redefine and monitor workflows, and capacity and demand needs within the department to ensure maximum effectiveness in support of the Company and its goals.

Day in the Life

  • Establishes and monitors goals for the department and team members in collaboration with the teams they support.
  • Provides employee performance planning and evaluations. Sets performance expectations, goals, development objectives and training plans as appropriate; monitors and evaluates employee progress.
  • Evaluates and hires talent aligned to emerging business needs; ensures diverse and effective succession plans for all roles; encourages mobility and helps team members find stretch opportunities to expand their experience and skills.
  • Creates meaningful and timely reporting tools to monitor satisfaction and service levels.  Manages day-to-day operations, including driving metrics of the team, executing monthly evaluations, and coaching team members.
  • Works with each supported leadership member to understand their administrative needs and provides support accordingly.
  • Implements, and adjusts as needed, the support model commensurate with the organization's needs.
  • Develops and maintains department standard operating procedures.
  • Identifies business risks, implements effective controls, and evaluates controls’ success.
  • Demonstrates strong leadership ability to guide or direct others through actions and influence while making good business decisions.
  • Builds and maintains working relationships with Executive and Senior leaders, team members, vendors, and other department stakeholders.
  • Identifies and manages mitigation of roadblocks for the department and individual team members.
  • Participates in development of annual departmental budget, monitors budget and identifies budget discrepancies.
  • Responsible for balancing team members’ workload to optimize the effectiveness of the department.
  • Ensures procedures are documented so department staff is able to comply with policies and processes.
  • Provides direction and leadership to staff; guide, coach, mentor and develop staff ensuring compliance with processes and procedures.
  • Handles interviewing, hiring, promotions, transfers, performance appraisals, compensation, counseling and termination of staff.
  • Develops and maintains staff by applying the necessary training and leadership that will allow internal growth and advancement.
  • Develops the support structure of the organization, managing and developing existing staff as well as recruitment to ensure the structure is effective.

Qualifications:

  • Bachelor’s degree (Business Administration, Marketing, Communications or similar) required. 
  • Seven (7) years of management experience required. 
  • Excellent team-oriented interpersonal and communication skills and ability to work effectively in a cross-functional team environment
  • Excellent facilitation skills with the ability to foster a collaborative & continuous improvement-minded environment
  • Minimal travel may be required
