GENERAL STATEMENT OF RESPONSIBILITES & DUTIES:
As the Security Staffing Analyst, you will supervise the scheduling and coordination of security personnel, to ensure proper coverage while maintaining compliance with established union agreements. You will address staffing needs, maintain accurate recordkeeping, and ensure accurate timekeeping within complex timekeeping rules. You will assist in providing support to security staff members on employment and scheduling, and payroll inquiries, and coordinate with appropriate stakeholders within Human Resources and Payroll respectively. You will play a key role in supporting staffing for museum events, special projects, and contractors while maintaining and fostering strong relationships with diverse stakeholders.
PRIMARY RESPONSIBILIES & DUTIES:
Assist the Security Manager in assigning Security personnel to various sections of the Museum, ensuring adequate coverage that aligns with operational and special event needs.
Work closely with the Manager to adjust daily staffing levels in response to operational requirements, manpower shortages, and gallery closures. Help ensure all security coverage is efficient and meets Museum standards.
Assist in managing and allocating overtime for special events, early starts, and contractor escorts. Ensure all overtime is processed according to budgetary constraints and operational demands.
Support the scheduling of Security personnel for regular shifts, holidays, training, and time off (annual leave, sick days). Ensure that scheduling meets both operational requirements and employee needs.
Assist in utilizing scheduling and manpower management platforms to improve operational efficiency. Provide input on system improvements and ensure that all staff are trained in new technologies.
Track visitor attendance at special exhibitions. Ensure that attendance data is regularly updated in the Museum’s internal systems.
Act as a liaison between the Manpower and Logistics team and other Museum departments, ensuring security needs and logistical operations are well-coordinated.
Maintain and update Security personnel records, ensuring accuracy in timekeeping, attendance, and leave balances. Assist with tracking and resolving any discrepancies in personnel data.
Input time and attendance data into the Workday System, ensuring all staff records are accurate and up to date. Run payroll reports and support the Manager with any payroll-related audits or corrections.
Assist in ensuring compliance with union contracts and protocols, addressing union-related inquiries, and working closely with HR to resolve any labor-related issues.
Support the Manager in managing payroll submission, handling paycheck inquiries, and resolving any payroll discrepancies. Assist in allocating overtime and tracking staff attendance in the Workday System.
Liaison with Human Resources and Benefits departments to ensure compliance with NYS FMLA, NYSQ, PLF, and LOA payment laws, as well as adherence to the union’s collective bargaining agreement (CBA).
Coordinate with HR and the Security Department’s Training section on union staff performance and development initiatives, including tracking mandatory training, certification renewals, and providing feedback
