About the role

Program Assistant - Nursing

Chatham University welcomes applications for the position of Program Assistant in our Nursing Department.

Under limited supervision, the Program Assistant will provide a high level of support in the areas of communications, database development and management, data collection and analysis, report preparation, event planning and logistics. This position is an integral part of the day-to-day operations of the Nursing Department, specifically the Registered Nurse-Bachelor of Science in Nursing (RN-BSN), Masters of Science in Nursing (MSN), and Doctor of Nursing Practice (DNP) programs.

This position will be available on or after May 1, 2025.


Duties and Responsibilities:

  • Provides quality information, direction, and assistance to incoming, currently enrolled students and alumni.
  • Creates and manages an extensive database of students, courses, preceptors and clinical sites for all three accredited nursing programs.
  • Prepares and monitors faculty contracts as well as other department correspondence as needed.
  • Disseminates electronic surveys and other data collection tools and compiles results of course, program, and alumni surveys for all three accredited nursing programs.
  • Compiles aggregate data and formats reports used for the numerous formal reports completed in the nursing department.
  • Plans and coordinates events, and communicates updated and timely information, location negotiations, dining and audiovisual equipment arrangements.
  • Assists faculty advisors in tracking student course progression and development of course schedules.
  • Serves as the first point of contact for matriculated students.
  • Works closely with IT for online education support to balance students across sections.
  • Works closely with the Registrar to handle student issues and course rosters.
  • Participates in University functions and events as needed.
  • Other duties as assigned.

Qualifications:

  • Bachelor's degree.
  • Commitment to the mission and values of Chatham University.
  • General knowledge of and skill in the practical application of generally accepted office practices and procedures.
  • Excellent interpersonal skills to interact and coordinate with faculty (including adjuncts), students, alumni, staff, advisory councils, university departments/units, and academic partners.
  • Ability to communicate effectively both orally and in writing.
  • Ability to proofread, edit, and format written documents.
  • Strong ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.
  • Proficiency in Microsoft Office applications including Word, Outlook Mail and Calendar, PowerPoint, Teams, and especially Excel.
  • Preferred experience with Qualtrics, Adobe, DocuSign, and Softdocs (Etrieve) as well as student and learning management systems.
  • Excellent customer service and problem-solving skills.

Salary Range:

$35,000 to $40,000 35-hour work week.

Exact compensation based on candidate skills and experience.
