Purpose/Introduction

Chevron Phillips is seeking a TRACK Coordinator.  This position has a key role in the daily oversight and administration of the TRACK product. The TRACK product is utilized to support daily activity, allocation, acceptance, authorization, and analysis for contractor activity. This role is integral to the success for the TRACK product.

Responsibilities

  • Oversee all activities of the Vendor management process per the standards established by the CPChem TRACK Center of Excellence
  • Manage and analyze activity for labor resources to ensure:
    • Badge events flow in an IN/OUT order within TRACK
    • Each Vendor resource has a skill along with badge events, schedule and pay formula assigned within TRACK for proper calculations of net billable hours
    • Any applicable per diem, meal allowance and travel charges are assigned per the contract rules
  • Coordinate the activities of all Vendor Timekeepers to ensure the system functions properly and data integrity is maintained
  • Assess training needs and provide training and assistance to Supervisors, Approvers, Authorizers and Vendor Timekeepers and resolve questions and issues
  • Evaluate and approve or reject override requests
  • Analyze, evaluate, and troubleshoot the daily business process and Timesheet Central within TRACK to confirm timesheet charges properly post in SAP
  • Create and manage user accounts/profiles within the TRACKAdmin Security Application
  • Audit and assess Vendor TRACK compliance for reporting timeliness, due date compliance and error corrections. Ensure the Vendor Timekeepers are following the standards and expectations that have been established by CPChem
  • Work with Maintenance Cost Analysts, Accounts Payable, Maintenance Supervision and other departments to resolve TRACK issues relating to SAP
  • Communicate and work with Plant Security to resolve badge issues affecting TRACK entries
  • Recommend process efficiencies and work with the COE to implement
  • Drive improvements to enhance the TRACK user experience

Required Qualifications

  • High School diploma or equivalent
  • Minimum of 5 years payroll and/or timekeeping experience
  • Excellent oral and written communication skills
  • Exceptional problem solving and analytical skills
  • Ability to build and maintain effective working relationships throughout the organization
  • Experience with MS Office Suites (i.e., Outlook, Excel, Word, etc.)
  • Demonstrated ability to organize and prioritize, meeting deadlines working independently in a fast-paced environment

Preferred Qualifications

  • Preferred 3+ years’ experience working with a vendor management system or TRACK software
