Purpose:
The Executive Communications Coordinator plays a critical role within University Marketing and Communications (UMAC), collaborating closely with the Office of the President. This position supports the President’s Speechwriter by drafting remarks and messaging, managing review and approval workflows, and coordinating the delivery of executive communications and campus-wide cascades. This position also coordinator communications for key executive-level programs and events, such as official UT Tower lightings. Reporting to the Associate Vice President for Strategic Communications, this role ensures efficient project execution and fosters alignment and collaboration across UMAC, the Office of the President, and the Office of the Executive Vice President and Provost.

Must be eligible to work in the U.S. on a full-time basis without sponsorship.

This position is funded for 12-months from the start date with the possibility of extension.
Responsibilities
Content Coordination and Writing:
Work with President’s Speechwriter to write various event remarks, leadership talking points, speeches, presentations, campus announcements, video scripts, and other needs as determined by the President’s Office leadership.
Collaborate with campus-wide colleagues to identify and gather stories, institutional data, and other content to support President and Provost speeches and messages.
Coordinate the review and approval processes with stakeholders to ensure proper vetting of materials and quality of messaging.
Planning and Execution of Presidential Messaging:
Work with UMAC’s Director of Internal Communications to develop internal announcement cascades and integrate Presidential messaging into the larger campus-wide communications calendar.
Build and send official Presidential email notifications and campus announcements to faculty, students and staff throughout the year. Use Outlook and the University’s internal email marketing platform, Emma, to ensure the effective and timely dissemination of official academic communications to the UT Austin community.
Program- and Event-Related Communications:
Collaborate with UMAC colleagues to develop communications plans, website and social media content, and select marketing deliverables for key Presidential programs and events, including the UT Tower lightings (and its associated website content and social media coordination) and various other programs.
Collaborate with colleagues in University Events and Experience to ensure efficient, effective, and professional communications and marketing efforts for all Presidential appearances and President’s Office-sponsored events.
Other related functions as assigned.
Required Qualifications:
Bachelor’s degree in communications, marketing, journalism, public relations, English or related field.
7 years of experience in a writing, content coordination, or other editorial/communications role.
Proficiency with project management platforms (e.g., Asana) and editorial planning tools (e.g., Microsoft Word, content calendars, scheduling software).
Exceptional organizational skills and attention to detail, with a proven ability to manage multiple projects and deadlines simultaneously.
Strong written and verbal communication skills.
Familiarity with content production workflows, including writing, editing, design and publishing processes.
Experience creating and managing email campaigns.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications:
Master's degree.
Experience working in higher education and interacting with executive leadership teams.
Experience managing a highly visible, highly public portfolio.
