Director of Orchestra Personnel 

Summary

Reports to: Vice President & General Manager

Employment Status: Full-Time Salaried, Exempt

 

The Director of Orchestra Personnel is responsible for the daily function of the Orchestra and oversees all matters concerning the 83 musicians of the Orchestra including but not limited to, enforcing work rules and terms of the Master Agreement, onboarding new musicians, implementing the tenure process for probationary musicians, overseeing the administration of national auditions, preparing bi-weekly musician payroll, creating weekly rosters, serving as a primary participant in CBA negotiations, and handling all sensitive and confidential matters with individual musicians.

 

Primary Duties and Responsibilities

1. Enforce work rules and terms of the Master Agreement and serve as timekeeper for all services

2. Available/on call at all times to deal with any emergency situation involving staff or extra musicians

3. To act as a liaison between management and orchestra personnel and between Music Director/staff conductor/guest conductor and orchestra personnel

4. Mediate and manage concerns from players and seek adequate and appropriate solutions

5. Document and investigate complaints or disputes between musicians, decide course of action in conjunction with Human Resources up to and including disciplinary procedures

6. Manage all requests for vacation, leave and relief/rotation from orchestra personnel

7. Maintain attendance records and a running record of rotation services for all staff musicians and assign personnel to rosters on the basis of an equitable system of relief for all individuals

8. Prepare rosters for all programs and hire and contract all extra/substitute musicians as dictated by instrumentation or directed by conductor

9. Manage the hiring of tenure-track, one-year, substitute, and extra musicians as needed to fill long-term absences or vacancies

10. Manage and administrate the participation of NSO musicians in the SOPA process

11. Manage and administrate the tenure process for all tenure-track musicians

12. Prepare all budgets for extra/substitute musicians, recording projects, or as assigned

13. Prepare and submit to Finance bi-monthly payroll 

14. Work closely with the Finance department to ensure musician salary breakdowns are accurate and up-to-date

15. Prepare reports for all media services and submit paperwork to Union

16. Serve as a primary participant in CBA negotiations preparation meetings

17. Serve as a primary participant in, and attend all, CBA negotiations sessions

18. Oversee the audition process

19. Oversee the distribution of contracts and general information to all extras/substitute musicians and make necessary announcements to orchestra as needed

20. Keep supervisor/management up to date on all personnel matters

21. Act as liaison with bus company drivers on run outs and act as the official representative of management.

22. Attend all services or as assigned

23. Retrieve rehearsal orders from all staff conductors and post as necessary

24. Supervise Assistant Orchestra Personnel Manager

 

Supervisory Responsibilities

Supervises the Assistant Orchestra Personnel Manager. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
