What this job involves – The Furniture Project Management (FPM) Coordinator will report into the Furniture Program Senior Manager and assist the Workplace Operations and Logistics Team (WOL) with the planning and implementation of furniture relocations, furniture moves, furniture re-configurations, electrical/data coordination and working with IT/AV systems logistics. A strong customer service focus and desire to provide direct assistance to the client is required. They will schedule meetings, ensure the right people from JLL and our 3rd party vendors are included and will help facilitate furniture planning discussions. They will work with the Furniture Project Managers and Furniture Project Coordinators to help with our internal work order system and furniture management system.  They will also help with work order updates, extensions, and verifications to ensure we are within our KPI parameters.  Additionally they will work with Finance and our Furniture Vendors on monthly reports regarding work orders and accruals.  Work with IFM teams on decommission activities, building access for Furniture vendors, and miscellaneous furniture movement requests. This role will also assist management with financial reports, financial monthly variances, budget creation and budget oversight support.

What is your day to day?  

  • Duties within work order system include:

    • Review furniture vendor(s) date extensions

    • Create monthly work orders for onsite labor

    • Review completed work orders and ensure WOL team work orders are verified within agreed upon parameters/ completion date

  • Maintain and update trackers as required, including monthly furniture aging report, new furniture purchases, and spend tracking plus others as assigned

  • Help obtain quotes and generates RFQs required for completion of furniture projects

  • Perform building audits and inventories as required

  • Ensure all project/account activities and processes are performed in a manner consistent with documented processes including client's and JLL's policies and procedures

  • Help with building decommissioning process, including furniture inventory, tracking furniture removal for project use  and coordinating with other vendors on furniture removal.

  • Work in furniture management tool for projects as required to reserve furniture for projects, manage monthly/quarterly vendor audits and running furniture reports.

  • Onboarding support for Furniture Vendors and JLL team

  • Provide ad hoc reporting 

  • Work on finance and variance reports

  • Work on budget prep and overseeing adherence to the budget

  • Becoming SPOC on our technology for the furniture team

  • Working on special initiatives and projects

  • Provides operational and procedural support to ensure projects are executed in accordance with established departmental, building, and client  procedures

  • Provide superior customer service and customer support for day to day activities and questions as well as project support for large furniture activity

  • Supports reporting, status updates/trackers and dashboards

  • Perform pre-planning coordination, support project execution and close out

  • Liaison between all parties that assist in the execution of furniture project activity

  • Support brokerage, donations and furniture excess diversion and reports

  • Coordinate with Finance on accruals, invoicing and budget variances

  • Coordinate with other teams on inventory management and storage needs

Desired experience and technical skills:
