Your Impact on Our Mission

As the Executive Assistant to G&A, you will play a critical role in supporting Zocdoc’s G&A functions—Legal, Finance, Accounting, and People. This role serves as a trusted business partner, reporting to our CFO and their leadership team, optimizing their time and ensuring efficient execution of key strategic initiatives. Through tight collaboration, impeccable organization, and excellent communication, you’ll be instrumental in helping our executives stay focused on high-impact priorities.

Your Day-to-Day Is…

  • Owning complex calendar management, navigating constant changes with sound judgment and urgency.
  • Understanding and anticipating preferences and needs related to meeting cadence, communications, and logistics.
  • Coordinating complex domestic and international travel, including detailed itineraries and documentation.
  • Managing email communications and correspondence as needed.
  • Preparing and organizing agendas, presentations, and materials for executive meetings, board meetings, and off-sites.
  • Scheduling and executing high-profile internal and external meetings (e.g., board, investors, legal partners), including venue and stakeholder coordination.
  • Assisting in the planning and execution of G&A and cross-functional events and initiatives (e.g., off-sites, all-hands, cultural moments).
  • Completing expense reports and managing company documents, contracts, and confidential materials.
  • Collaborating closely with the broader EA team and executive office on cross-functional initiatives.
  • Supporting G&A leaders in special projects, including OKR tracking and cross-team communications.
  • Helping to coordinate internal events (e.g., team celebrations, milestone recognitions).
  • Maintaining a culture of excellence, transparency, and trust across internal and external stakeholders.

You’ll Be Successful in This Role If You Have…

  • 5–8+ years of experience as an Executive Assistant, ideally supporting C-suite executives in a fast-paced environment.
  • Extensive experience managing calendars, travel logistics, and high-level meetings.
  • Exceptional judgment, ownership mindset, and ability to operate independently.
  • Strong problem-solving and decision-making skills.
  • Proven project management capabilities and ability to improve/implement new processes.
  • Professional maturity and discretion when handling confidential information.
  • Excellent interpersonal and relationship-building skills with cross-functional teams.
  • A strong sense of urgency and a passion for getting results—fast.
