Job Summary:
Provide administrative sales support to distributors and field sales employees. Act as liaison and provide an effective information communication link between field and facility personnel. Enter, process, maintain orders from distributors. Assist in other departments as necessary to ensure the timely placement of orders in production and billing.
Major Responsibilities/Activities:
- Work with distributors and corporate accounts to ensure timely arrival of purchase orders, deposits, final payments, special terms requests, etc. to ensure release of orders to production in a timely manner.
- Answer customer service and sales calls.
- Field questions from distributors and customers with quoting questions, provide input to distributors and customers regarding equipment purchasing.
- Provide sales support to sales department personnel as needed. Receive, review, process, and expedite orders and modifications to orders.
- Assist with price lists and order forms for new products, as well as all existing product lines.
- Originate special order requests and follow up to finalization as needed. Prepare and process equipment service requests and create invoices for payment.
- Compile and distribute monthly sales forecasting report and monthly sales reports when needed.
- Participate as an active member of the sales team.
Education Requirements
- A high school diploma or equivalent is required, with a two-year associates degree in marketing/customer service preferred.
Experience Requirements:
- A minimum of three years prior administrative assistant or customer service-related support experience is required, preferably in a sales or manufacturing environment.
- Computer proficiency in a Windows environment is required, preferably with Microsoft Word, Excel, Access, and PowerPoint.
- Professional telephone skills and etiquette are required.
- Excellent organizational and problem-solving skills are required.
- Experience with an ERP or similar manufacturing software is preferred.
- Experience with Salesforce or similar CRM software is preferred.
- Must possess excellent interpersonal, verbal, and written communication skills.
- Must possess a strong attention to detail and be able to work with a high degree of accuracy.
- Must be self-motivated and able to work with minimal direct supervision.
- Equivalent combination of education and experience may be considered.

- Identify and record any problems relating to the product, process, and quality system.
- Initiate, recommend, or provide solutions through designated channels.
Physical Demands:
While performing the duties of this job, the employee will be exposed to normal office conditions and usual office equipment like telephone, personal computer, reports and files. The employee will also be exposed to normal conditions of a manufacturing facility. The employee will be regularly required to sit and talk or hear. The employee will be occasionally required to stand, walk, use hands to finger, handle, or feel and reach with hands and arms. The employee must occasionally lift and/or move up to 10 pounds of general office items. Specific vision abilities required by this job include occasional close vision.
