About the Role:
We are hiring a proactive and high-impact Executive Assistant II to support two Product VPs. This role is ideal for someone who thrives in a dynamic, product-focused environment and operates as a true strategic partner. You’ll enable executive effectiveness, drive cross-functional alignment, and lead the coordination of critical operational activities including global offsites and strategic communications.
This position demands independent judgment, high emotional intelligence, and seamless collaboration across stakeholders. You’ll anticipate needs, streamline operations, and maintain exceptional execution in a fast-paced environment.
What You Will Do:
Executive Support & Productivity
Manage complex and fast-moving calendars across multiple time zones, including proactive scheduling, prioritization, and conflict resolution for two Product VPs.
Partner closely with your executives to focus their time on strategic priorities while maintaining visibility and connection with key stakeholders.
Lead planning and execution of Product Org offsites, including logistics for both domestic and international attendees, agenda design, vendor coordination, communications, and contingency planning.
Schedule and facilitate recurring team meetings, cross-functional syncs, and executive meetings with well-prepared agendas and follow-ups.
Strategic Communication & Liaison
Serve as a key liaison between the VPs and stakeholders across Product, Engineering, GTM, and Executive Leadership.
Draft and refine communications, presentations, and meeting summaries that reflect executive voice and intent.
Track action items and ensure accountability across workstreams.
Travel & Finance
Plan and book complex travel itineraries across time zones, ensuring seamless transitions and detailed day-by-day plans.
Submit and track expense reports accurately and on time; support budgeting and reconciliation for offsites or special projects as needed.
Cross-Functional Collaboration
Partner effectively with other Executive Assistants to ensure consistency, coordination, and mutual support across leadership teams.
Foster a collaborative EA network to share knowledge, align on executive priorities, and provide coverage as needed.
Understand and navigate across organizational boundaries to get things done efficiently and with influence.
Program & Project Support
Support tracking and execution of product org goals (e.g., OKRs, planning cadences).
Anticipate needs for materials or context, enabling your executives to show up prepared and focused.
Maintain accurate and up-to-date documentation across projects, schedules, and meeting cadences.
What You Will Bring:
5–7+ years of experience supporting VP-level or above, ideally within product, engineering, or tech environments.
Demonstrated ability to plan and execute large-scale events or offsites, including coordination with international participants.
Strong experience supporting multiple leaders with competing demands across time zones and geographic regions.
Excellent collaboration skills and a team-first mindset—especially when partnering with other EAs or operational teams.
Advanced proficiency in Google Workspace, Zoom, Slack, and task management tools (e.g., Asana, Notion, Trello).
A high degree of emotional intelligence, discretion, and business judgment.
Strong written and verbal communication skills with keen attention to detail.
