Reporting to the Chief Operations Officer (COO) Energy Solutions is seeking a mission driven, intuitive, proactive, and strategic Executive Assistant (EA) to provide comprehensive support.  This is an amazing opportunity to work with a dynamic Executive in an inclusive environment for a company working to combat climate change.

The Executive Assistant must be an independent problem solver who can adjust to rapidly changing circumstances, multitask, and work well under pressure as situations warrant. The ideal candidate will be analytically minded, highly organized, tech savvy and possess excellent time management skills.

 

Responsibilities include, but are not limited to:

  • Act as a liaison between COO and internal/external stakeholders to ensure seamless communication and coordination
  • Proactively communicate regularly throughout the day keeping the COO well informed of changes and important updates
  • Anticipate the needs of the COO, provide detailed administrative support on calendar management, travel, and meeting/events planning
  • Detailed understanding of COO’s priorities and workload to optimize schedule, make recommendations/offer scheduling tradeoffs
  • Provide meeting support including calendaring, pre-meeting preparation, in-meeting note taking, and post-meeting follow up on deliverables, outcomes, and actions
  • Collaborate closely with other EAs to align with other Executives’ schedules
  • Handle all expenses for COO in a proactive, fiscally responsible manner
  • Project management on special initiatives and strategic projects as directed by COO
  • Perform research and carry out miscellaneous requests to gather information to support decision making processes
  • Support team building events and activities
  • Handle confidential and sensitive information with discretion and professionalism

 

Minimum Qualifications:

  • Bachelors degree
  • Minimum of 10 year’s work experience in a related role with at least 3 years’ supporting C-level Executive
  • Reside within commutable distance to our downtown Oakland headquarters 
  • Able to work out of our downtown Oakland office approximately 3 days/week
  • Willingness to work non-traditional hours on occasion (not typical)
  • Willingness to travel up to 15%. Overnight travel in certain instances.
  • Outstanding time management with demonstrated ability to handle multiple priorities
  • Strong ability to work independently in a fast-paced environment with minimal guidance
  • Collaborative work style to work cross-departmentally to get results or necessary support to complete tasks
  • Excellent interpersonal, business writing and verbal communication skills
  • Ability to learn existing systems and processes quickly
  • Extensive experience in MS Office tools including Outlook, Word, Excel, and PowerPoint (Skills test will be required during the interview process)
  • A proven professional or personal commitment to the betterment of the environment and the reduction of GHGs (Greenhouse gases)
  • Delightful personality and winning sense of humor

 

Salary DOE: $85,000 - $105,000 / Annually 

Compensation is commensurate with experience and includes a generous retirement package. Energy Solutions provides an excellent benefits package including medical, dental and vision insurance, other pre-tax contribution plans and an Employee Stock Ownership Plan (ESOP).
