Job Description
As the Senior Executive Assistant, you will be a critical member of the Executive Support Team. In this role you will increase the effectiveness and productivity of the leadership team and company by providing support through impeccable organization, scheduling, and communication. This role will manage the global office management team as well as oversee the company’s Executive Assistants; currently a team of 5.
The successful candidate will be a self-starter, have strong attention to detail, be comfortable with shifting priorities in a fast-paced environment and be excited about the opportunity to be a part of a fast-growing company. They will demonstrate strong business judgment and be skilled at breaking down complex, high-level ideas into executable deliverables; excellent communication and cross-functional management abilities are critical for this role. This role is highly visible and provides an excellent opportunity to work with the executive leaders across the business and indirectly impact all areas of our company.
Roles and Responsibilities
- Provide sophisticated calendar management for Executive team. Prioritize inquiries and requests while troubleshooting conflicts; make independent judgements and recommendations to ensure smooth day-to-day engagements.
- Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events.
- Complete a broad variety of administrative tasks that facilitate the Executive team’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
- Work closely with the Executive Leadership team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the Executives updated. Anticipate Executive’s needs in advance of meetings, conferences, etc.
- Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed.
- Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the Executive team and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team
- Work with the Executive Team to coordinate the CEO’s outreach activities. Follow up on contacts made by the CEO to cultivate ongoing relationships.
- Manage all aspects of organization’s office services. Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as organization grows. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organization.
- Manage information systems operations including hardware, software, desktop support, internal telecommunications, and strategic systems development and planning for Executive team.
- Provide event management support as requested.
- Other projects/duties as assigned for the overall benefit of the organization.
- Oversee Executive global support teams, including Executive Assistants and Office Managers, currently a team of 5.
Qualifications
- Previous experience working in private equity or investment banking preferred.
- Significant executive support experience, including supporting C-level executives.
- Excellent written and verbal communication skills.
