About the role

Chemonics International is seeking a Travel and Relocation Sr. Manager. The Travel and Relocation (T&R) Sr. Manager establishes and maintains the international employee travel and relocation corporate programs and services. The T&R Sr. Manager is responsible for maintaining and updating all relevant policies and work instructions, as well as leading effective change management and communications activities. The T&R Sr. Manager will manage the appointed travel management company, train employees on travel and relocation related services and regulations, oversee relationships with travel and household effects (HHEs) related vendors and service providers, and will be responsible for all corporate travel services purchasing activity. The T&R Sr. Manager is expected to collaborate very closely with various stakeholders in all business lines and divisions across the company, demonstrate excellent customer service, and provide timely consultative expertise. The position serves as the team lead for the T&R team within the Human Resources Division’s (HRD) Operations Department and reports directly to the Sr. Director, Operations Support. Responsibilities:

Travel and Relocation Program Management

  • Develops and implements strategy for long and short-term improvements for T&R function, including benchmarking functional area against industry best practices and making recommendations for incorporating them into Chemonics, and continuously seeking innovative ways to improve T&R processes through automation and workflow improvements
  • In partnership with the Sr. Director, Operations Support, leads the development of the T&R team’s strategic plans, training materials, and tools
  • Provides guidance and assistance to business and support units on variety of T&R related issues, including reasonableness and allowability of services
  • Oversees the day-to-day administration of international employee travel and relocations to overseas posts through the entirety of the process, including helping employees navigate the unfamiliar legislative environments in which they work
  • Monitors and ensures compliance with U.S. Cargo Preference Act, Federal Travel Regulations, Foreign Affairs Manual, Fly America statutes, and other US Government regulations and donor requirements, company policies, procedures, and practices to mitigate audit risk. Develops and disseminates policies regarding T&R services
  • Serves as liaison between staff and T&R vendors in resolving problems, and as point of contact for travel related after-hour emergency services
  • Works closely with senior staff in cases of separations and terminations to reduce unallowable costs
  • Provides pricing recommendations to ensure budgets are realistic both for shipping allowances and weights, while balancing employee expectations
  • Serves as a central point of contact for external auditors’ explanation of expenses inquiries and ensures timely responses
  • Creates, updates, and works with team to ensure maintenance of corporate SharePoint web page that houses important T&R policy information and corporate documents, and provides industry updates affecting business units and their relocating employees
  • Conducts annual review of all services provided by team to ensure they meet business needs and provide positive experiences
  • Tracks all travel purchasing activity using internal system in accordance with company purchasing policies and budgets and approves all travel purchasing transactions to ensure accuracy and completeness of records
  • Tracks SLAs for internal service requests handled by the T&R team. Monitors the T&R team’s responses
  • Maintains and expands technical knowledge in T&R services discipline by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies and Chemonics practice networks
  • Liaises regularly with new business staff to understand and better respond to clients’ needs
  • Effectively trains and mentors staff on Chemonics tools and systems
  • Fosters and demonstrates a workplace inclusive of creating opportunity, serving others, building trust, innovation, and exceeding expectations
