Summary/Objective
The Sales Administrator, Scenic Technologies plays a key support role for the functions of the sales, estimating, and project management teams – ensuring all digital infrastructure is kept current & all sales opportunities are captured and kept up to date for leadership. The Sales Administrator sets up all incoming jobs in all PRG digital systems and ensures the digital infrastructure is clean, organized, and that all reports have current information. The work involves sitting at a computer, answering incoming project requests and self-directing actions based on independent prioritization. This individual works directly with the sales & estimating team to ensure all opportunities are captured and reflected properly, and they also work with the project management and finance teams to ensure that reports are up-to-date. This individual is responsible for assigning estimates to the team to complete and is also responsible for estimating projects themselves. This role also includes direct contact with internal company clients and stakeholders. This is an entry-level position where job duties will be expressly taught. No experience in management, estimating, or the entertainment industry is necessary to fulfill this role. Sales and estimation experience is preferred.
Essential functions
- Create & maintain digital file systems & structures up to date for all potential and active jobs. Ensure old projects are archived appropriately. Ensure digital list of jobs is kept up to date
- Responsible for administrative job startup – creation of Job Number, Job Folder, and Salesforce entry. Pre-populate new documents with appropriate titles per job, ensure all necessary basic fields are filled out properly Set up estimate templates and populate with necessary information
- Work with internal partners to secure POs for work
- Field incoming order requests and assign all estimates, ensure estimate queue is current
- Interface with PMs, Sales, & Finance to ensure jobs are set up in designated systems appropriately
- Schedule sales handoff meetings. Attend all STLV and PRG internal sales and pipeline meetings
- Assist in preparation of financial reporting documentation and data entry. Run regular and on-demand reports for Project Managers & leadership
- Interface with vendors to get quotes and pricing
- Estimate projects
Qualifications
Knowledge, Skills, and Abilities
- Good knowledge of modern office procedures and practice
- Good knowledge of common computer productivity tools; such as Microsoft Office and Excel;
- Good persuasion skills; the ability to communicate effectively both orally and in writing; the ability to manage multiple projects simultaneously within strict deadlines
- 1+ year Salesforce experience
- The ability to learn, use and train other users in PRG proprietary software
Required education and experience.
- High school diploma some college preferred.
- 3 years in similar industry or position; experience in entertainment industry a plus
- Customer Service and/or sales experience
- Estimating experience
