Founded in 2002, KIPP Baltimore operates joyful, academically excellent public charter schools and alumni support programming that prepare students with the skills and confidence necessary to successfully pursue individual pathways to careers of highest aspiration. KIPP Baltimore enrolls approximately 1,500 kindergarten through eighth grade students in two schools on a shared campus in the former Walbrook High School building in West Baltimore: KIPP Harmony Academy (grades K-5) and KIPP Ujima Village Academy (6-8).  Including our signature KIPP Forward (formerly KIPP Through College) program, we support more than 3,000 current students and alumni.

KIPP Baltimore is part of the national KIPP Public Schools network. KIPP (Knowledge Is Power Program) began in 1994 with 47 fifth-graders as a college-preparatory program housed within a public middle school in Houston, Texas; today, we are a network of 280 schools, 15,000 educators, and 175,000 students and alumni. All KIPP public charter schools are locally-run, non-profit organizations; each region is governed by a board of directors.

Job Description

The Executive Assistant and Special Projects Coordinator is charged with supporting the
regional executive team, made up of the Executive Director, Chief Academic Officer and Chief Operations Officer, providing critical, high-level support. This includes but is not limited to logistical support with the Board of Directors, support in the management of federal and state grants administered through Baltimore City Public Schools (BCPS), and management of other special projects as assigned. The Executive Assistant and Special Projects Coordinator reports to the Executive Director.


Duties/Responsibilities:

  • Supports executive communications and correspondence, including taking calls, responding to emails, and drafting letters, while ensuring prompt, accurate, and appropriate responses.
  • Supports the administration of the Board of Directors including logistical support of meetings, management of the board calendar and communications, onboarding of new board members, and the preparation of meeting materials and minutes.
  • Provides executive-level “problem solving” support for the regional executive team.Assesses the urgency and importance of situations and takes the appropriate action to determine the necessary level of regional executive team involvement.
  • Manages calendars, organizes internal and external meeting logistics, and coordinates

  • Manages the Executive Director’s budget.
  • Performs data entry and develops and maintains filing systems.
  • Manages office operations.
  • Performs other duties as assigned.
  • Supports compliance with federal and state grants received by KIPP Baltimore through BCPS (e.g., Title I, II, IV and federal and state COVID relief grants), including writing plans to implement required grant programming, tracking data in support of grant reporting requirements and supporting the preparation of required evaluation reports.
  • Supports compliance with Baltimore City Public Schools charter school operator requirements (e.g., the submission of budgets, officer’s certificates, financial statements, etc.)
  • Coordinates logistics for organization-wide events
  • Oversees special executive-level projects and independently executes special strategic projects, research, and assignments.
  • Assist with other organization-wide projects as needed.
  • Serve as a full-time and engaged member of KIPP Baltimore’s staff.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Publisher) and Google Suite (Drive, Docs, Sheets, Slides, and Forms)

Education and Experience:

  • A Bachelor’s degree.
  • 1-2 years comparable experience at a nonprofit or education organization.
  • Grant management experience a plus.
