About the role

Job Summary: Provide direct administrative support to the Dean of Students and Office of the Dean of Students. Tasks include receiving and supporting students experiencing crisis, in need of personal support, who have been targeted by discriminatory conduct, or who need assistance navigating the University community. Direct daily office operations pertaining to departmental programs and procedures. Additional tasks include but are not limited to maintaining budgets, purchasing, coordinating services, coordinating calendars and preparing correspondence.

Essential Functions: Respond to students' requests for personalized support and referrals from Title IX and CARE teams. Greet students, families, faculty and staff as they enter the Dean of Students Office seeking support or information. Coordinate calls, dispatching student's faculty and staff to colleagues for support. Schedule meetings, manage calendars, organize meeting agendas, logistics and notes; create reports, etc., for the Office of the Dean of Students. Create internal and external correspondence with input from Dean of Students. Maintain highly confidential student records and assist in compiling aggregate reports. Interpret policies/procedures and transmit decisions and directives for the benefit of support for students. Coordinate public relations activities for the purpose of responding to inquiries and complaints, furnishing information to the public and providing explanations. Act as a liaison between the department and the university community. Manage with employment and payroll related duties for department including: entering employee hours into Workday, tracking and approving time-off requests from team and processing and tracking Workday requests and one-time payments. Manage the HPM functions for department(s) including: creating jobs, tracking applications, correspondence, and assisting search committees with hiring functions. Purchase supplies/services with University PCard and reconcile and resolve budget discrepancies as necessary. Monitor department and compile monthly and annual reports. Serve with Dean of Students and Case Manager as member of the Dean of Students leadership team and staff consulting on and responding to students and student concerns brought forward to the Office. Supervise student assistants for Dean of Students team. Responsible for directing and monitoring the work of student and/or temporary workers.

Required Qualifications:

Requires high school diploma and some college.

A minimum of two (2) years experience with performing administrative procedures. Ability to demonstrate empathy and engage students from diverse backgrounds. ability to multi-task and work in an open and engaging environment. Ability to work closely with colleagues in support of and service to students. Ability to make decisions independently. Extensive knowledge of office procedures, software packages such as Word, Excel, PowerPoint, etc.

Compensation: The compensation for this position is commensurate with experience. This is a Union position with a salary Grade of SBU-110. Salary determination is subject to the SBU Collective Bargaining Agreement.
