About the role
The Pastorate of St. Francis, St. Mary and the Holy Family, located in Middletown, Maryland, is seeking candidates for an administrative position in the parish office. The Administrative Assistant provides administrative support relating to the operation of faith formation, and ministries as assigned. This is a part-time position, 18 hours weekly.
Essential Functions
- Log information into the ministry platform system.
- Coordinate volunteers who have offered to help make faith formation materials – calling them, explaining the tasks, printing out the instructions, following-up, etc.
- Contact potential service sites for confirmation candidates, find out if they have any service roles that our teens could step into.
- Manage first Communion dates and sign-ups.
- Gather interview information from communications team and make parishioner profile sheets for the meeting with potential family faith formation small group leaders.
- Organize faith formation materials in various closets.
- Assisting with weekly Pastorate communication outlets, including the bulletin and email blast.
- Provide back-up and as-needed assistance to other parish office staff members as requested by Director of Christian Formation.
- Perform other duties as requested or needed, acting independently and proactively when required.
Position Qualifications
- High school diploma or equivalent; minimum of three years’ experience as a secretary or administrative assistant in a professional work environment.
- Advanced level of proficiency in the use of Microsoft Office suite of products, especially excel.
- General knowledge of the Catholic Church, including Sacraments.
- Demonstrated ability to establish priorities and organize work effectively, often in a multi-tasking environment.
- Must have a sense of humor and a servant’s heart.
- Ability to establish and maintain effective working relationships with others from all walks of life and in various occupations.
- Ability to project a positive, professional, and empathetic image to Pastorate members and the public.
- Ability to maintain confidentiality and professional demeanor in all situations.
