GENERAL FUNCTION:

Under the direction of the Owner, Executive Director & Program Administrator, the Clinical Notes Specialist is responsible for reviewing clinical notes and ensuring they are in compliance with insurances and funding entities.  The Clinical Notes Specialist's responsibilities include developing and implementing quality assurance policies, conducting calls, identifying obstacles, case management and presenting solutions.  It will be their responsibility to follow up with clinical staff when notes are not in compliance and ensure notes are updated and address accordingly.  The Clinical Notes Specialist will also follow up up with cancellations and identify solutions for low hours and/or cancelled sessions. The Clinical Notes Specialist will be in charge of maintaining records of follow up procedures for notes that are out of compliance and cancelled hours. The Clinical Notes Specialist will collaborate with other Administrative Departments and Clinical Teams, including Clinical Director, BCBA, CS and/ BT. 

Job Description

  • Export reports in EMR system to review clinical notes and document follow-up; think critically; problem solve and identify solutions for any issues that may arise
  • Ensure notes are in compliance with state, federal and funding entity guidelines
  • Export reports in EMR system to identify cancellations and follow up with direct staff to make-up cancelled hours
  • Ensure all hours and cancelled sessions are addressed and follow up on to maximize client support
  • Report findings and solutions to supervisor
  • Meet with clients/family to review company and family expectations, as needed
  • Update internal documentation platforms
  • Identifying and resolving workflow and service issues
  • Addressing and discussing issues and proposed solutions with Executive Department
  • Documenting quality assurance activities
  • Making recommendations for improvement
  • Creating training materials, as needed
  • Work independently and contribute to weekly staff meetings
  • Various tasks, as needed

Qualifications

Experience and Requirements:

  • Applied Behavior Analysis
  • Minimum bachelors degree, masters degree preferred
  • Registered Behavior Technician preferred, but not required
  • Previous work experience with ABA and Autism is preferred
  • Bilingual in Spanish is a big plus
  • Multitasking skills, organizational skills, thinking critically and analytically
  • Ability to work in a changing and fast pace environment
