About the role

Overview

Join our growing payroll team as the ADP Workforce Now Payroll Manager.  This is a full time, salaried, hybrid-remote position. Working in-office 2 days per week at our Nashua, NH headquarters.

Responsibilities

  • Manage/process bi-weekly, multi-state US payroll consisting of 2500+ employees and heavy non-exempt workforce employees via ADP Workforce Now
  • Understand & properly classify direct & indirect employee labor classifications
  • Collaborate with international payroll staff, and 3rd party firms to facilitate weekly, bi-weekly and monthly payroll funding; provide related reporting. (Costa Rica, Ireland, Netherlands & China)
  • Maintain and audit all payroll records to ensure changes are within corporate controls
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
  • Manage electronic timekeeping system via ADP Time & Attendance and ensure accuracy of approved timesheets.
  • Process registrations for new tax jurisdictions through external vendor. Maintain/validate new and changed jurisdictions in WFN and ADP Smart Compliance
  • Manage the payroll general ledger/bi-weekly payroll journal entry and other payroll accounting processes with a strong understanding of GL accounting and internal standards. Maintain the integrity of GL assignments for labor allocation. Apply GL coding and analysis for invoices related to the payroll function. Prepare annual payroll reconciliation for year-end audit.
  • Formulate and deliver a high volume of scheduled and ad-hoc reports using ADP Reporting’s advanced techniques and applying advanced Excel functions (VLOOKUP’s, Pivot Tables, logic formulas and other analytic tools); efficiently manipulate, analyze, and interpret diverse and complex data.

  • Understand & properly classify direct & indirect employee labor classifications
  • Process short term disability payments.
  • Prepare reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages
  • Determine payroll liabilities by calculating employee federal and state income and social security taxes and employer's social security, unemployment, and worker’s compensation payments
  • Implement, maintain and review payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Administer payroll 401(k) functions: record and audit load and deferral changes; prepare, validate, and processes contribution files; perform periodic audits in collaboration with HR staff.
  • Stay current on payroll systems to achieve alignment with HR benefits and ensure effective accounting support
  • Facilitate audits (401K, Workman’s Comp, Year End…etc) by maintaining and providing records and documentation to auditors
  • Identify and recommend updates to payroll processing software, systems and procedures.
  • Manage and mentor payroll team
  • Manage acquisitions/integrations as required for the payroll systems
  • Maintain financial security by adhering to internal payroll & accounting controls
  • Maintain detailed and organized payroll records and perform special projects as needed
  • Collaborate with other teams, functions, and data owners across the company to align on process and data issues and to ensure any required changes to policies, procedures, and processes are implemented
  • Directly oversee the daily activities of the payroll department and ensure that all major projects, accounting period close-outs, month-end, and year-end reports are completed accurately and on time.

Qualifications

  • Bachelor's degree in Accounting, Business Administration, Human Resources or equivalent combination of education and experience required
  • 10+ years of multi-state (20 – 40 states) Payroll experience for a large organization (500+ employees), at manager level, required
  • 5+ years of experience with full cycle payroll process in ADP Workforce Now with a working knowledge of importing employee and payroll data required
  • Advanced working knowledge of ADP Workforce Now Time and Attendance module required
  • Advanced knowledge of all aspects of payroll laws and regulations and federal and state regulations as they relate to payroll
  • Experience managing multi-state & international payrolls required
  • Experience managing a team of 2+ employees required
  • Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes
