Job Description:The Administrative Specialist II at the Florida Center for Autism plays a pivotal role in enhancing operational efficiency and administrative excellence. Acting as a trusted partner to leadership, the incumbent ensures seamless delivery of office support, fiscal oversight, and stakeholder engagement, all while safeguarding the confidentiality and integrity of sensitive information. This position requires a results-oriented, highly organized individual skilled in multitasking, communication, and process compliance—with a foundation in administrative proficiency and a commitment to supporting the organization's mission.
- Administrative Support to the Director of Florida Center for Autism: Provides advance administrative assistance to the Director of Florida Center for Autism by coordinating calendar management, composing high-level correspondence, and developing presentations. Serves as the Director’s liaison to various internal and external stakeholders and must be able to communicate professionally and effectively.
- General Administrative Coordination: Establishes work priorities, maintains deadlines, and manages daily center operations. Perform confidential or non-routine administrative duties in coordination with UF and UF Health offices. Coordinates scheduling for all recruitment efforts and assists with recruiting new hires. Serves as a point of contact for the Florida Center for Autism, routing calls and serving as a liaison between the Center and the public. Performs other duties as assigned by the Director or other appropriate administrator.
- Communications & Marketing: Prepares reports, presentations, event materials, and other written documents, including newsletters, and web design and content to ensure accuracy and most current information. Organizes events, conferences, and meetings with various stakeholders. Works with Department of Psychiatry Public Relations and UF Health Marketing to ensure that all materials are in compliance with UF and UF Health standards.
- Fiscal: UFGO experience and handling travel arrangements for Director and team members. Initiate and manage purchases via PCard or UF Marketplace.
- Other duties: May perform other duties as assigned to support new programs, short-term project or divisional needs.
$55,000 - $65,000; commensurate with education and experience.
Required Qualifications:Bachelor’s degree and three years of relevant experience; or an equivalent combination of education and experience.
Preferred:- Ability to communicate effectively with team members and federal and state law makers
- Ability to work independently without direct supervision
- Familiar with UF policies and procedures
- Flexibility attending meetings after hours and weekend events
