Who You AreYou are a detail-oriented, execution-driven events professional with a passion for turning sponsorships into standout brand moments. You bring strong project management skills, an operational mindset, and a collaborative attitude to the table. Whether coordinating deliverables with external vendors or aligning with internal teams, you're adept at ensuring that every sponsored event runs smoothly, on time, and on brand.
You're not afraid to roll up your sleeves to ensure that logistics, branding, staffing, and follow-up are executed flawlessly. While you contribute to the development of event strategy, your primary strength lies in bringing event plans to life with consistency, creativity, and attention to detail. You thrive in fast-paced environments, are always two steps ahead on timelines, and take pride in producing high-quality event experiences that drive awareness and engagement.
What You'll Be Doing

Sponsored Event Planning & Coordination:

  • Manage the planning and execution of HighLevel’s sponsored presence at industry trade shows, conferences, and partner events.
  • Support the development of sponsorship plans and activation strategies in alignment with the broader events and marketing team.
  • Research sponsorship opportunities and make recommendations based on event relevance, audience fit, and budget.

Execution & On-Site Support:

  • Coordinate event deliverables such as booth setup, signage, collateral, lead capture tools, and swag.
  • Serve as the primary logistics lead for assigned events, including travel planning, registration, shipping, and vendor communications.
  • Represent HighLevel on-site to ensure smooth setup, execution, and tear-down, including managing staff and partners on the ground.

Budget Tracking & Vendor Coordination:

  • Manage budgets for assigned events, including expenses and reconciling invoices.
  • Work with external vendors (AV, booth builders, fulfillment, etc.) to ensure timely delivery and high-quality execution.
  • Ensure vendor contracts align with company policy and legal guidelines.

Cross-Functional Collaboration

  • Collaborate with brand, creative, and product marketing teams to ensure consistent messaging and design across all event materials.
  • Partner with the Marketing team to ensure effective lead capture, attribution, and follow-up processes.
  • Work closely with the swag team to manage inventory and coordinate promotional item delivery.

Post-Event Wrap-Up & Reporting:

  • Gather performance data (attendee numbers, leads captured, engagement) and assist in post-event analysis.
  • Contribute to internal debriefs to identify what worked and opportunities for improvement.
  • Maintain documentation and templates for repeatable event processes. 

What You'll Bring:

  • 6 + years of experience in event marketing, field marketing, or sponsorship coordination.
  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field (or equivalent experience).
  • Demonstrated ability to manage event logistics, vendors, and timelines for in-person and virtual experiences.
  • Strong project management and organizational skills with acute attention to detail.
