We are seeking a Sr. Administrative Coordinator who will provide high-level administrative support to the Medical Director of the Department of Emergency Medicine and the clinical leadership team. Excellent communication skills and attention to detail are critical for this role. Must be a team player and highly organized in order to accomplish said tasks. Exercises independent judgment in prioritization of projects/events. Advises the Medical Director of time-sensitive issues and handles personally, as appropriate.
Specific Duties & Responsibilities
- Support the Medical Director in managing, coordinating and facilitating the accomplishment of organizational goals, objectives, and strategic and clinical initiatives.
- Independently interprets operating policies to advance the Medical Director’s initiatives, and exercises judgment in resolution of administrative problems, often acting in the stead of the Director.
- Prioritizes and tracks multi-faceted issues related to patient safety, in addition to simultaneously managing multiple projects related to clinical initiatives.
- Develops ad-hoc reports and initiates and oversees organization and implementation of special projects.
- Represents the Medical Director in communicating professionally with his peers, staff and external contacts to respond to questions, resolve administrative problems and issues, and gather data as needed.
- Maintains strict confidentiality when dealing with patient and staff issues.
- Proactively and strategically manage and maintain the complex calendar of the Medical Director. Ensure the Medical Director stays on schedule and abreast of changes and high-level concerns, as necessary, throughout each day.
- Serves as the primary point of contact for the Medical Director.
- Serves as a liaison and monitor feedback and ensure situations are handled efficiently, professionally.
- Interprets and communicates operating policies to support the mission of the Medical Director and leadership team.
- Coordinates the patient safety program for the Department; retrieves and collates case information from various databases; independently communicates, monitors and follows up on tasks; creates new tracking mechanisms as needed; extracts data for various presentations and reports.
- Engages in the creation, organization and execution of programmatic building to enhance the effectiveness of the clinical leadership team, furthering efficiencies and troubleshooting issues.
- Initiates, develops and prepares agendas, distributes material, independently communicates and ensures that action items are on task and completed in a timely fashion.
- Serves as a liaison between the Medical Director, clinical staff and the public, answering a myriad of questions with tact, knowledge and diplomacy.
- Tracks the hiring process for all clinical associates and APP’s. Manages scheduling of interviews, follow up with HR and finance contacts regarding salary offers.
- Assembles and categorizes facts and figures for written computation, calculations and presentations.
- Analyzes operational practices such as recordkeeping systems, creating new systems and revising established procedures.
- Independently reads, research, and routes correspondence; drafts letters and documents; collects and analyzes information; initiates communications.
- Uses various software applications, such as spreadsheets, relational databases, and statistical and graphics packages to assemble, manipulate and format data and reports.
- Coordinates and manages the leadership team members’ calendars by planning and scheduling meetings, conferences, teleconferences and travel.
- Coordinates and implements office services such as purchasing, projects and budget accounting operations.
- Organizes all facets of the Department’s clinical team, including electronic files.
Minimum Qualifications
- High School Diploma or graduation equivalent.
- Five years progressively responsible administrative experience.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Bachelor's Degree strongly preferred.
- Proficient in SAP.

Starting Salary Range: $21.00 - $36.50 HRLY ($59,800 targeted; Commensurate with experience)
