About the Role:

The next step in evolving our shopper journey is hiring our new Administrative Assistant. Reporting to the General Manager, Sales, the Administrative Assistant will help multiple executives with professional duties to help them run the organization smoothly. We are looking for someone who is a hard-working, proactive, and organized self-starter, who can anticipate needs before they arise. 

This is a full-time role that can be held from one of our US offices or remotely in the United States.

Role Responsibilities: 

  • Proactively manage executives’ calendars, including scheduling, shifting priorities, and handling sensitive matters with care and discretion
  • Keep calendars organized and efficient so the executives you support can use their time effectively
  • Plan and coordinate executive travel, anticipating needs and handling details that make time away from the office run smoothly
  • Prepare and submit expense reports and manage travel-related logistics accurately and on time
  • Support limited event planning responsibilities, including coordinating catering and related logistics; occasional travel may be required
  • Serve as a professional point of contact between executives, employees, clients, and external partners, responding promptly and getting details right
  • Maintain a high level of confidentiality when working with sensitive or private information
  • Share important or time-sensitive information with executives as needed
  • Prepare, format, and edit materials for internal and external communication, including emails, memos, presentations, and reports
  • Maintain accurate records, documents, and reports, and take notes or support presentations during meetings
  • Work effectively with teams across the organization, including other administrative professionals, to coordinate schedules, communication, and logistics
  • Use available tools, including AI, automation, and productivity software, to improve efficiency and accuracy in day-to-day work
  • Demonstrate a growth mindset, learning new tools, processes, and ways of working as the role and organization evolve

Minimum Requirements:

  • 2+ years of professional experience in a similar administrative support role
  • Experience with executive calendaring, scheduling, and travel arrangements
  • Ability to use AI tools (ex. ChatGPT, Gemini), to automate workflows and make work more efficient
  • Strong communication and collaboration skills with the ability to manage internal and external stakeholders professionally
  • Comfort working in dynamic or evolving environments
  • Experience managing confidential information and communications

Preferred Requirements: 

  • Based in CST or EST is preferred
  • Experience managing multiple stakeholders across time zones
  • Direct industry experience in tech, digital media, advertising, or consumer data
  • Experience managing multipl
