Position Summary...

We are looking for an experienced Executive Assistant to join the Walmart US People team, supporting the SVP, People End to End. This role provides the essential facilitation of prompt and professional communication and administrative support, along with effective schedule management and exceptional organization. The successful candidate for this role is energetic, proactive, and thrives when empowered.

What you'll do...

  • Act as the initial point of contact for the SVP, responding to internal and external stakeholders promptly and professionally. 

  • Utilize business and process knowledge to construct electronic, verbal, and written communications. 

  • Proactively manage calendars, anticipating and identifying time requirements for planners and pre-work, affirming appropriate attendees, managing tech and location requirements across campuses, and ensuring attendee readiness.  

  • Proactively coordinate, plan, and schedule projects, travel, and events.  

  • Provide financial process support by receiving, interpreting, and processing invoices and expense reports against a standard reporting time, reviewing for exceptions, and adjusting. 

  • Create and edit documents, reports, and presentations 

  • Recognize and capitalize on improvement opportunities and adapt to competing demands, organizational changes, and new responsibilities.

You’ll make an impact by: 

  • Leading administrative aspects of calendar management, event planning, and scheduling travel for supervisor(s) and a team by responding to and processing requests for scheduling, monitoring, and maintaining calendars and the use of meeting rooms or facilities. 

  • Collaborating with others to obtain relevant resources or information; supporting the organization and coordination of department, divisional, or company events at the direction of others; scheduling and coordinating travel; and organizing business-related, pre-travel preparation. 

  • Providing data and information management for specified area by coordinating with other areas to collect data (for example, budgets, talent management, business performance); consolidating and identifying exceptions and patterns in data; reviewing information for completeness; identifying and escalating risks and concerns; creating and maintaining reports, reporting tools, and templates; maintaining security and confidentiality of information; and maintaining company records as defined by retention guidelines. 

  • Completing work assignments and priorities by using policies, data, and resources; collaborating with managers, co-workers, customers, and other business partners; identifying priorities, deadlines, and expectations; carrying out tasks; communicating progress and information; determining and recommending ways to address improvement opportunities; and adapt
