POSITION SUMMARY:
This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living and social responsibility. The YMCA is a fast-growing organization that needs passionate, highly skilled individuals to move the organization forward. As the Business and Administration Director you will be responsible for the business and office functions of the Y. In collaboration with organizational leaders, this position will manage services and processes that help assure that the short-term and long-term goals of the organization are achieved. You will be responsible for managing various operating functions to include: accounting, technology, human resources, compliance, and administrative support for the association.
ESSENTIAL FUNCTIONS:
General Business Operations:
- Oversees office functions such as office equipment and supplies, etc.
- Manages purchasing supplies and equipment for the Association.
- Provides administrative support and quality assurance to core business functions such as fundraising, payroll compliance, grant tracking, banking, and mail.
- Supports program staff with financial statements and problem-solving variances as needed.
- Manages billing functions for tenants, assists with leases and acts as a liaison between Y and Y-owned rental properties.
- Maintains regular, clear, and concise communication within the area of responsibility.
- Assist in YMCA special event projects when needed.
Information Technology:
- Manages and oversees all aspects of information systems. Develops and manages system security, including backup processes. Oversees vendor contracts.
- Evaluates issues pertaining to information systems for strategic planning and innovation. Anticipates risk, implications, and possible outcomes before taking action.
- Researches and identifies new technology trends that relate to the YMCA’s needs and makes recommendations.
- Develops and monitors budgets related to information technology. Monitors the costs involved in maintaining and improving information systems, including equipment and software. Evaluates and recommends technology purchases based on the YMCA’s needs.
- Ensures proper operating procedures are in place in regard to technology and provides training and support to users.
Risk Management:
- Assists in the development of safety training and programs by conducting research and cost analysis, supporting recommendations for development and implementation of safety programs.
- Acts as a liaison between insurance carriers and the YMCA.
- Serves as a resource and point of contact for information regarding injuries or accident claims.
- Implements program related quality standards, monitors compliance and takes appropriate corrective actions.
- Develops and distributes safety related communication such as posters, announcements, bulletin board displays, etc. and ensures that appropriate contacts have current information on all safety related activities.
- Facilitates communication with insurance agents, insurance providers and/or legal counsel as needed to respond to inquiries in a timely manner.
- Ensures improvements to safety programs are implemented according to recommendations from the YMCA of the USA, Whatcom Family Y Safety Committee or insurance companies.
- Follow organization’s policies and procedures regarding protecting youth from abuse, including screening and selection, training and supervision, and responding to allegations. Communicate to all staff and volunteers the organization’s commitment to protect youth from abuse.
