Job Description:
This position is an unclassified position in the Office of Sponsored Programs at LSU. The Office Coordinator coordinates sub-award processing and workflow of subawards, assists with overall award processing workflow in GeauxGrants and assists with general office operations.
Job Responsibilities:
Coordinates sub-award processing by: monitoring OSP sub-award mailbox and routing emails to appropriate individuals, and performing responsibilities outlined in OSP’s Sub-award Selection, Preparation & Monitoring Procedures, including but not limited to logging in sub-awards and sub-award modification requests, completing pre-award assessment questionnaires, updating and maintaining sub-award data in GeauxGrants, utilizing Workday to create subaward PO's and Change Orders, monitoring Workday for issuance of PO's on sub-awards, and processing executed sub-awards to SPA, This individual also monitors and requests Single audit certificates from sub-awardees, and maintains electronic sub-award files. (60%)
Assists with GeauxGrants workflow by : processing declines, processing fully executed non-signature awards to Sponsored Program Accounting and sponsored project agreements as assigned which includes logging in new awards and modification approvals. Responsible for following up on outstanding partially executed agreements. Assists Operations Manager/Executive Director with review of operational budget. Timekeeper- updates internal office leave outlook calendar daily. (25%)
General office operations including, but not limited to: answering general phone calls rolling over from main line & routing to appropriate staff; conducting a yearly inventory of the office space and equipment, functioning as point of contact for office equipment maintenance and office upkeep, and assists in the training of student employees, receiving office visitors, ensuring front desk coverage, distributing mail, and ensuring student worker daily responsibilities are carried out. On a quarterly basis, procures office supplies. (10%)

Minimum Qualifications:
Bachelor's Degree
Preferred Qualifications:
Bachelor's Degree in a Business related field and three (3) or more years of professional experience; Proven ability to work effectively under pressure to meet deadlines and handle multiple projects while working with and interacting with individuals at multiple skill and professional levels. Computer application skills.
Physical Demands:
Physical ability and eye-hand coordination necessary to use a computer terminal, copier, telephone and other standard office equipment; ability to sit in the same position for extended periods (5.5+ hours a day) at a time using continuous hand motions when entering data into the computer system.
