Description
Minimum Qualifications:
Associate’s degree or equivalent and 2 years of office related experience.
Preferred Qualifications:
Auditing experience preferred.
Job Summary:
To manage, coordinate, and directly support the administrative and business management, and/or staff activities within a Process/Department.
Manages and supports the administrative and business/financial execution between UTMB and its EMS vendors.
Job Duties:
· Financial related tasks
o Reconciles Process accounts comparing entries on ledgers with invoices, journal vouchers, and purchase orders to verify accuracy of posting and receipt of payment for services provided by the Process.
o Identifies variances in expenditures and reports to customers as appropriate.
o Coordinates the process’ accounts receivable and posting revenues.
o Maintains detailed reports and records of accounting data.
o Assists in the preparation of detailed financial, statistical, and annual reports.
o Coordinates with purchasing to ensure timely issuance of Purchasing Orders to EMS vendors
· Software related tasks
o Composes correspondence and memorandums in appropriate business letter format.
o Proofreads all completed assignments for grammar, format, and structure.
o Creates, maintains, and manipulates databases and spreadsheets.
· Clerical tasks – filing, scheduling, reporting, etc.
o Conducts audits of EMS bills to verify patient identity, EMS pickup and dropoff locations, and payer information.
o Develops area/process office record keeping systems.
o Compiles data for necessary reports and develops reports that are user friendly.
o Coordinates meeting notifications and prepares agendas.
o Files process/area records, reports, correspondence, and other documents maintaining files in accordance with the current Record Retention Schedule.
· Customer Service
o Interacts with customers toward effective problem resolution and assists with questions regarding policies, procedures, and operations of the process or area.
o Ability to think independently and make decisions as necessary.
o May interface with leadership at UT Components, city, and/or state government agencies or outside vendors.
· Miscellaneous
o Initiates improvements in work process/environment.
o Analyzes and standardizes procedures for improved efficiencies.
o Prioritizes daily work assignments.
o Contributes ideas and suggestions for improvements to the process.
