OCCUPATIONAL SUMMARY

 

The Program Coordinator will provide expert planning, coordination, and execution of programs, special projects and select team activities for the Office of Equity, Diversity and Inclusion. The Program Coordinator will report to the Senior Director of Strategy and Planning on administration of programs and projects, including educational workshops and trainings, professional development programs, networking programs and events, symposiums and conferences, speakers and lecturers, and team-oriented special projects and activities.  The Program Coordinator will develop, coordinate and advise on content and delivery related to assigned major programs and projects, and will maintain strong relationships with internal partners and participants to facilitate high quality programs and events.

 

WORK PERFORMED

 

Program Administration and Event Management

 

  • Make operational and programmatic decisions that have a significant impact on the successful achievement of equity, diversity and inclusion related program strategies and objectives; develop, coordinate and provide recommendations regarding programs.
  • Plan, coordinate and administer activities of assigned programs and projects to include developing and implementing procedures, processes, services and systems.
  • Budget for, and coordinate, events and other related programs; develop and coordinate new ideas and concepts for program themes, materials and resources to supplement, expand or replace existing program components.
  • Support the design and coordination of in-person and virtual special events and activities of the office through: agenda development, promotional materials, logistics, financial processing, and related duties.

 

Communications and Engagement

 

  • Develop plans for communication materials in partnership with Central Communications team.
  • Support the development of communications and regularly scheduled reports.
  • Maintain liaison with other programs, offices and departments at Duke to coordinate program business and to accomplish program objectives; interface with external organizations as appropriate to ensure cooperative efforts are enhanced and available resources are utilized.

 

Program Quality Improvement and Financial Reporting

 

  • Contribute to program design and quality improvement by identifying process and procedural improvements to increase efficiency and maximize desired outcomes.
  • Support evaluation of program performance in partnership with the office’s Assessment and Research team to summarize findings, identify strengths and needed enhancements to programming, and facilitate iterative program design and revision.
  • Prepare budgets as appropriate; monitor, verify and reconcile expenditure of budgeted funds as appropriate.
