Scheduling Resource Rep I - Primary Care

The scheduling resource representative works collaboratively in a team structure to develop and publish complex schedules for departmental personnel. Consults with Nursing leadership regarding workload analysis, staff plans and optimal schedule builds including complex schedule options and rotations to meet the workload needs of a 24/7 environment. Develops and maintains position control documents, staff bases and posted employee schedules. Provides direction regarding scheduling procedural guidelines. Audits employee timekeeping records, pay rules and FTEs. Protects, manages and reports data contained within assigned scheduling applications. Develops and implements standard operating procedures for managing and auditing security to ensure data are protected and handled appropriately. Elicits unit requirements for system parameter set-up. Builds and maintains system parameters in scheduling software applications, performs routine application maintenance, processes data updates and provides technical support for designated scheduling applications. Develops Knowledge Base for supported scheduling applications to be used as references by the Help Desk to answer common problems and resolves ServiceNow tickets within a timely manner. Develops and implements scripts for application quality assurance testing. Writes and executes database queries using report writing tools and develops reports for dissemination. Provides consultation with unit budgets and workload analysis for scheduling solutions to leadership within the Enterprise. Carries out all aspects of the job in an autonomous manner using appropriate problem-solving skills and assumes the responsibility for self-development within the role.
Requires associates degree and two years of progressive experience in administrative support, preferably using Workforce Timekeeping and scheduling applications such as ANSOS , Clairvia and Mayo Scheduling System (MSS), or High School diploma and four years of experience in administrative support, preferably using Workforce Timekeeping and scheduling applications such as ANSOS , Clairvia and Mayo Scheduling System (MSS). Mayo experience preferred.Significant prior experience with spreadsheet and word processing software. Effective verbal and written communication skills. Ability to deal with continuous multiple and complex interpersonal interactions. Demonstrated problem-solving and organizational skills. Ability to work independently. Ability to set priorities and meet deadlines within the context of highly variable workload and interruptions. Ability to collect, organize, and synthesize detailed information from a variety of sources.
