This position is a vital part of the People Team and plays a critical role in ensuring the organization and success of company and departmental initiatives for AffiniPay’s internal customers - our employees! This position is both analytical and creative, working with the People Team to create structure and systematic feedback mechanisms on critical measurements of employee satisfaction through various surveys, awards programs, events, and internal initiatives.
This position also owns and maintains the ever-changing People Team calendar and assists People Team leadership in the strategic and thoughtful planning, coordination, and execution of engagement driven internal events. This role works directly with other members of the People Team to plan, execute, and evaluate the benefits of internal company initiatives including in-office and virtual/hybrid company events and plays a critical role in measuring the success and benefit of those events by creating and measuring post-event surveys.
AffiniPay’s Project Manager, People Team is responsible for planning, organizing, and managing People Team projects from initiation to completion. Reporting to the Senior Manager, Team Engagement you will collaborate with internal customers across the People Team, company leadership team, and any other internal customer in order to collect the project information such as timelines, deadlines, objectives, budgets, etc. In addition, you will be responsible for all projects’ statuses and their timelines ensuring teams are on track in delivering on schedule. You are a self-starter and a creative problem solver with strong attention to detail and highly organized.
What You'll Do:
- Partner with the Senior Manager, Team Engagement, leadership teams, People Business Partners and other team members to track and evaluate engagement data; e.g. attendance at events (virtual / in person), participation, social media interaction ( in partnership with marketing), staff advocacy, etc.
- Hold the People Team accountable for the progress, timeline, and accomplishment of compelling engagement outreach strategies for all team members
- Maintain strong cross-functional engagement to align efforts and provide a consistent company point of view on how to build community across AffiniPay
- Conduct post-event feedback including event logistics breakdown, budget reconciliation, processing payments and conducting post-event recaps with stakeholders, as needed
- Partner with internal departments to create scope, budget and manage execution of engagement-related initiatives
- Ownership of the People Team Workstream Calendar, including:
- Management of calendaring for all People Team workstreams
- Determining ideal timing for various Incentive contests hosted in Slack and/or during events
- Working with stakeholders to share important holidays and current/ social events throughout the US and Canada
- Collaborate with AffiniLife leaders on calendaring for events
- Collaborate with AffiniCares leaders on calendaring for events
- Tracking onsite engagement metrics - All Staff meeting attendance, door reporting, etc.
- Prioritize, multi-task and manage multiple projects at once, meeting multiple deadlines at once using Asana or similar PM software
- Scopes and understands the needs of each project to optimally prioritize dates and daily tasks
- Creating the project timeline, communicating this to team members, and making sure key steps are completed according to this timeline
- Project available time and resources for each project, and track its status through completion to help the People Team meet deadlines and achieve project goals
- Coordinate with other departments involved in assigned projects as needed to ensure timely completion of projects
- Conduct regular meetings with people team leaders, presenting progress reports and project status
- Identify potential risks or delays related to budgets, resources and timelines, and work across all departments to resolve any issues that may arise
About You:
- Proficient with Excel and creation of spreadsheets used for project forecasting and engagement evaluation. Experience managing / maintaining a budget a plus
- Superior interpersonal skills with excellent written
