Position Summary: 

The Leave of Absence (LOA) Specialist serves as the primary point of contact for team members requesting or utilizing a leave of absence. This role is responsible for administering all company leaves in compliance with federal, state, and local regulations, as well as company policies. The LOA Specialist will partner closely with Voya, our third-party leave administrator, and utilize Workday, our HR system, to track and manage leaves. This role collaborates regularly with our People Experience Business Partners, ensuring a seamless, team member-focused leave process that balances care, compliance, and operational needs. The LOA Specialist will also be cross-trained on broader benefits processes to serve as a backup to the Sr. Benefits Analyst. 

 

Key Responsibilities: 

  • Serve as the subject matter expert for all leave of absence programs, including but not limited to FMLA, ADA, personal leave, military leave, parental leave, and other statutory or company-sponsored leaves. 

  • Partner with Voya, our leave administrator, to ensure timely and accurate processing of all leave requests and cases. 

  • Utilize Workday to track leave cases, update records, and generate reports. 

  • Collaborate with People Experience Business Partners, managers, and employees to ensure understanding of leave options and processes, and to support seamless return-to-work transitions. 

  • Maintain compliance with federal, state, and local leave laws, including timely notifications, documentation, and recordkeeping. 

  • Support the ADA interactive process, working with employees and managers to identify reasonable accommodations. 

  • Cross-train on health, welfare, and retirement benefits to provide backup coverage for the Sr. Benefits Analyst as needed. 

  • Monitor leave cases for status updates, extensions, and potential abuse, escalating concerns as appropriate. 

  • Coordinate with Payroll, Benefits, and HR teams to ensure accurate pay, benefits, and system updates during leaves. 

  • Stay informed on legal requirements and industry best practices related to leave and benefits administration. 

  • Assist with benefits projects, reporting, and process improvements as assigned. 

 

 

Qualifications: 

  • Experience: 

  • 3+ years of experience administering leaves of absence, FMLA, ADA, or related HR functions. 

  • Experience with Workday or other HRIS required. 

  • Experience working with third-party leave administrators (such as Voya) preferred.
