About the role

The Administrative Assistant will provide business operations and administrative support to the company’s executive & HR teams on an as-needed basis. Strong analytical abilities and ability to quickly adapt in a fast-paced environment is a must.

Responsibilities and Duties

Executive Support

  • Organize and schedule appointments & travel on behalf of leadership team
  • Submit and reconcile monthly expense reports
  • Plan meetings and take detailed minutes
  • Assist in the preparation of regularly scheduled reports
  • Serve as back to CEO Executive Assistant as needed


Office & Human Resources Support

  • Act as the point of contact for internal inquiries related to facilities and office management
  • Maintain & update office seating and contact list
  • Greet and assist onsite visitors
  • Provide administrative support for onboarding and offboarding employees
  • Maintain a filing & audit system for organization’s personnel files
  • Manage vendor relationships & budget for office supplies
  • Oversee facilities management in partnership with building management
  • Support HR team in updating and maintain office policies and procedures
  • Resolves issues and troubleshoots a variety of office management situations
  • Special projects and assignments, as requested

Requirements

  • 2+ years’ proven experience as an Administrative Assistant or Office Admin Assistant is a must
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • High level proficiency in MS Office (MS Outlook, Word, Excel and PowerPoint)
  • Excellent time management skills and the ability to prioritize work
  • Strong attention to detail with the ability to meet time-sensitive deadlines and carry out multiple priorities independently
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills with strong focus on effective relationship building
  • Strong organizational skills with strong sense of urgency
  • High School diploma
