Position Summary:

Performs a wide variety of complex special projects. Provides general administrative and communications support to multiple directors, managers, departments, or teams across multiple West Coast locations (San Fernando, Valencia). May administer programs, projects, and/or processes specific to managers, departments, or teams. May assist in budget preparation. Works under minimum supervision.

Responsibilities:

  • Administers programs, projects, and/or processes specific to managers, departments, and teams.
  • Coordinates Wellness and Community engagement activities and provides administrative support for event-related tasks.
  • Participates and provides administrative, event coordination and communications support for engagement teams (DIB, Vitality and Pharmafit) activities.
  • Responds to department-relevant questions from internal and external contacts. Acts as administrative liaison for site or team within and external to the organization.
  • Assists in composing, editing, preparing, and distributing materials for meetings and presentations. Prepares presentations involving graphics in various formats, including Word, PowerPoint, and Excel spreadsheets in adherence to Pharmavite standards.
  • Collects, compiles, and analyzes moderately complex data and information. Generates and distributes reports.
  • Performs department-relevant research as needed.
  • Liaison with Pharmavite communications team to provide communication of site activities (Daily Dose, Vitality Hub, townhalls)
  • Maintains site-level activity calendars
  • Maintains task list for recurring site meetings
  • Orders office supplies.
  • Schedules meetings, conference calls, and appointments; tracks calendars. Arranges meetings and orders meals as necessary. Prepares expense reports.
  • Prepares correspondence, coordinates travel arrangements, makes copies, and files documents. Organizes department reference materials.
  • Opens and distributes all incoming mail.
  • Handles and maintains confidential documents and information
  • Works at multiple locations within a week or as needed
  • Performs other related duties as assigned.

Education:

  • Requires a high school diploma or its equivalent. Two years of business school and/or some college preferred. A four-year college or university degree is a plus.

Experience:

  • Requires three to five years of experience in an administrative support role, communications, event planning, or equivalent position. Business experience is important.

Knowledge/Skills/Abilities:

  • Advanced proficiency in word processing, spreadsheet, and graphic presentation software, including but not limited to Microsoft Office applications (Word, Excel, and PowerPoint).
  • Database software experience (e.g., Access, Power BI) is a plus.
  • Excellent communication skills, tact, and diplomacy in interactions with others
  • High degree of initiative, demonstrating self-motivation and ability to work independently.
  • Proven ability to effectively interact with employees at all levels within the organization; be a team player.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

Physical Requirements:

  • General office environment, ability to sit for long periods. Ability to move about an office.
  • Scheduled interplant travel between locations is required

  • The incumbent must be able to perform this job safely without endangering the health or safety of self or others.

Supervisory Responsibility:
