Your Specific Responsibilities:

The incumbent in this position provides accounting services for the daily deposit and posting of payments received by the Bureau of Public Health Laboratories.  This includes knowledge of the Accounts Receivable procedures, HPlusPro billing system protocols and proficiency in the use of Microsoft Word, Access, and Excel computer applications.

 

Manage the daily mail-in log for all payment receipts. Open, stamp and verify all incoming mail.  Verify checks and cash received and record in mail-in-log in Access.  Pulls all invoices to review and verify for accuracy received from Jacksonville, Tampa, and Miami Laboratories. Collect checks, cash, and verify invoices from the mail-in log received from the Senior Clerks in the lobby.

 

Oversee Accounts Receivable posting activities. Post payments from remittance voucher payments received from Medicare, Third Party Liability (TPL) Payers and HMO insurance companies.  Determine non-billable claims and post adjustments/write-offs in the HPlusPro billing system for non-billable claims. Download Explanation of Benefits (EOB)/Electronic Remittance Advice (ERA) 835 files from Change healthcare and Office Ally and auto post payments in HPlusPro billing system daily.

 

Assist with consolidation, review, and submission of Electronic Funds Transfers (EFT) and Journal Transfer reconciliations to DOH Revenue Management to ensure proper fiscal codes are used.

 

Prepare weekly and monthly Accounts Receivable (A/R) reports using Excel spreadsheets.  Assist in preparing monthly A/R Trial Balance report. Serve as back-up to the Revenue Supervisor as required. Identify efficiencies and recommend process improvements related to cash management activities.

 

Provides backup to the Porter Lobby, maintaining filing system, answering the telephone, responding to client issues, and assisting with special projects as assigned by management.

 

Perform other duties as required.

 

Required Knowledge, Skills, and Abilities:

Knowledge of bookkeeping principles and practices. 

Knowledge of basic arithmetic. 

Knowledge of office procedures and practices. 

Knowledge of basic filing practices.  Ability to maintain fiscal records. 

Ability to organize and file materials. 

Ability to post, balance and reconcile fiscal records. 

Ability to work independently. 

Ability to communicate. 

Ability to understand and apply applicable rules, regulations, policies, and procedures.

 

Qualifications:

Minimum –

  • Filing and maintaining records, as well as answering phone calls and emails professionally. Ability to post, balance, and reconcile accounting records efficiently.

 

Preferred –

  • Some college or college degree.
