Position Summary:
The Office Manager will support the Kakos School of Arts and Sciences Dean’s Office and School as a whole by keeping the Dean’s office organized, maintaining regular contact with faculty, staff and students in the School and other units at the University, monitor Departmental budgets and spending, supervise projects (including the transition of the School to paperless workflows) and by supervising the Department Administrative Assistants, and Coordinators. This is an in person, on-campus, non-remote position.
Responsibilities:
- Support the Office of the Dean and the Dean by monitoring the budgets through the Dean’s office (including credit card statements, endowments and other restricted accounts, the capital budget and grant budgets – direct and indirect).
- Update the Kakos School of Arts and Sciences information on the website and on hard copy fliers/materials.
- Order office supplies and keys, maintain the water cooler, schedule events sponsored by the Dean’s Office.
- Serve as the main point of contact with Physical Plant on Kakos infrastructure needs.
- Accurately document and maintain minutes at meetings organized by the Dean.
- Ensure all workflow in Kakos is paperless, keeping track of the Dean’s calendar and carrying out other administrative requests as needed.
- Supervise the work of the Department Administrative Assistants and Coordinators.
- Meet with the administrative team once per month to coordinate workflow and discuss initiates.
- Provide the administrative team with training options for paperless workflow applications, ensure they are meeting the responsibilities outlined in their job descriptions.
- Communicate with Department Chairs to confirm that Administrative Assistants are receiving adequate support and approve their weekly timesheets.
- Support the Dean with Dean’s list determinations and dispositions (probation, suspension and dismissal) and correspondence to those students each semester.
- Support the Dean in the administration of the Summer Research Scholars Program.
- Other duties as assigned.
Qualifications:
- Bachelors degree preferred.
- Minimum of 3 years experience in an administrative, clerical, or office support role.
- Experience supervising others.
- Experience utilizing Microsoft Office and/or Google applications.
- Strong organizational and planning skills.
- Excellent communication and interpersonal abilities.
- Ability to multitask and prioritize tasks.
- Attention to detail and problem-solving skills.
