Fleet Administrative Coordinator

Position Summary
The Fleet Administrative Coordinator provides professional administrative support to the Region Fleet Department by completing all required paperwork to ensure our vehicles are in compliance with all DMV and DOT requirements and coordinating various aspects of daily operations, including recording and reporting data.
Key Responsibilities
- Completes data entry for vehicle plate numbers, vin numbers, tire sizes, permit numbers and other related material ensuring data is accurate and updated.
- Orders office supplies and maintains a proper inventory needed for office staff.
- Provides support to acquisitions by assisting with the onboarding process of all new trucks, while helping the local teams get the fleet team running in a timely manner and assists local teams with obtaining all required information for acquisitions.
- Receives and responds to correspondence and maintains departmental records.
- Ensures all registration and permit documentation is completed and up to date including, but not limited to, registration of new and leased vehicles, overweight permits, Unified Carrier registration, trip and fuel permits, and IFTA permits.
- Presents new ideas and procedures to enhance department efficiencies in an effort to effectiveness of all processes.
- Participates in training and other learning opportunities to expand knowledge of the company, products, sales and services and performs any other duties needed to help drive our vision, fulfill our mission, and/or abide by our core values.
Education, Experience & Qualifications
The successful candidate will have a high school diploma or GED and a valid driver’s license, be legally eligible to work in the US, be able to travel frequently, and a demonstrated ability to work as part of a team in a collaborative environment.
Excellent verbal and written communication skills, great relationship management skills, demonstrated proficiency with Microsoft Office applications, and excellent time management skills are required. Knowledge of state vehicle registration processes, knowledge of equipment used in the company, high attention to detail are expected.
