About the role

Summary

Under the general direction of the Surgical Services Business Manager in collaboration with the Surgical services Leadership team, the Surgical Services Equipment, Instrument and Inventory Coordinator is responsible for ensuring the equipment, supply and instrumentation needs of the patients within Perioperative Services are met. This includes AMU, PACU, Operating Room, CSS, Ortho Supply, ACC, PSTC and Surgical Scheduling.

In addition, reviews the surgical schedule to identify surgical equipment and instrument needs then make any necessary arrangements to secure items and resolve potential conflicts.

Coordinates the repair and interim substitution of broken equipment and the delivery, inspection, use, and return of loaner equipment as needed.

Acts as a liaison between Supply Chain Management (SCM) and Surgical Services to avoid interruption in the daily procurement process to ensure departments have the products they need to treat patients. Requisitions items as needed, facilitate new item adds, edits or deletions and follows up on pending orders and back orders to ensure the availability of supplies.

Communicates and collaborates with SCM to resolve procurement issues that arise providing stakeholders and decision-makers with timely and accurate information as needed. Actively participates in meetings with SCM and Surgical Services.

Takes an active role on the Surgical Services Clinical Quality Value Analysis (CQVA) committee to facilitate product trials and assist with cost saving initiatives. Works to support the Surgical Services Business Manager throughout the Capital Equipment and Business Planning processes related to new equipment, supplies and new surgical procedures.

Acts as a Resource for equipment and instruments to CHMG offices, practices, CASC, Concord Hospital Laconia (CH-L) and other joint ventures.

Education

Associates degree preferred.  A combination of education and experience will be considered. 

Certification, Registration & Licensure

Certification is not required, however encouraged

CMRP Certified Materials Resource Professional (CMRP) or other relevant certification would be preferred.

Experience

Prior Supply Chain, Operating Room, Sterile Processing or other relevant experience strongly preferred.  Demonstrated proficiency and attention to detail in the use of desktop applications Microsoft Word, Excel, and PowerPoint. 

Responsibilities

Performs daily review of tag on board and Claflin back order reports. With input from leadership works to prioritize issues for SCM and provides SS Leadership with a plan of action daily. Works to ensure there is follow through and closed loop communication related to rejected orders, back orders, substitutions and resolutions daily. Ensures that SCM has explored all avenues to obtain a product. Will assist SCM with identifying substitutions as needed consulting leadership for items requiring clinical input. Coordinates the reordering of an identified substitute with SCM to avoid interruption for the term of the back order. Follows up with SCM to ensure substitutes are linked to items if appropriate, maintains a database of other substitutes for future reference.

Assist SCM with the monitoring of Logi-D boards and empty supply bins bringing concerns to the attention of SCM for resolution. Considers the surgical schedule when assigning priority level and requesting overnight orders. Critical backorders and substitutions will be displayed in a designated spot for staff and physicians to see. Communicate to Leadership when a high priority item is no longer on back order.

Reports concerns to SCM related to CC-iD bin consumption and reordering and seeks resolution and feedback. Reports obstacles pertaining to these processes to the Surgical Services Business Manager. As reported by members of the surgical team, surgeon feedback, and supervisory observation.


Coordinates with SCM to provide par level stock usage reports semi-annually containing suggestions for adjustments to avoid stock outs and over stock. Reviews the recommendations made by SCM and facilitates meetings with Surgical Services Leadership to approve and implement the recommendations. Responsible to ensure the changes are implemented in a timely manner. Reports obstacles pertaining to this processes to the Surgical Services Business Manager. Responsible to submit new add item requests, changes and deletions. Follows up to ensure communication flows to update surgical preference cards if applicable.
